Job Title: Office Manager

Job Summary:

Provide general overall Facility Management services including continuous monitoring of facility. Work with facility managers to manage routine facility management operations including procurement of property supplies and services issuing purchase orders managing bid requests and service/construction contracts and processing of accounts payable and accounts receivable.

Essential Duties and Responsibilities:

Administrative Function

  • Assist Facility Management Team with planning for the teams goals and objectives.
  • Provide facility specific assistance to the project management team.
  • Become proficient at CMMS tools and serve as liaison between Finance.
  • Support FM team on procurement/bidding activities.
  • Support FM team on contract administration.
  • Initiate Purchase Orders track spending and invoicing to match PO.
  • Become liaison on moves and space changes.
  • Coordinate special events in support of clients or our Company.
  • Provide support for meetings and conference room reservations as needed and directed.
  • Assist with the coordination and scheduling of maintenance activities.

Communication and Relationship Coordination

  • Provide general overall facility management services including continuous monitoring of office/facility environment.
  • Function as an interface with clients visitors and guests; advise and guide for key Initiatives.
  • Ensure effective communication connection and support with customers.
  • Provide direction / information to vendors facilities staff and service providers as required to ensure excellent coordination / of work within client environment with minimal disruption.

Compliance

  • Properly and effectively administer and maintain all security systems.
  • Ensure COI compliance by reviewing tracking system input/output. (i.e.Jones Prism Corrigo Angus).
  • Assist with budgetary requests analysis and reporting.
  • Assist with anticipating researching analyzing and reporting on budget variances explanations.

    Qualifications:

    Education

    • Associates degree in facilities management building business other related fields or equivalent work experience
    • Bachelors degree preferred.

    Knowledge Skills and Ability

    • Minimum of two years of industry experience with facility or property administration.
    • Superior customer service skills and orientation with location and client team.
    • Ability to maintain professionalism always under stressful situations.
    • Ability to plan and manage work under time constraints.
    • Ability to multitask and work without direct supervision.
    • Proficient in MS Office and possess strong written verbal and people skills.
    • Strong organizational skills and collaborative style
    • Must be proficient at Excel Spreadsheets and have capability of customizing administrative reports.
