JOB SUMMARY

The Administrative Intern will provide essential administrative support to JAXPORTs Sales and Marketing department. This role will serve as the primary point of contact for incoming inquiries via phone email and website ensuring efficient and professional communication. The intern will also assist with data management meeting coordination and general administrative tasks. This internship offers valuable handson experience in a fastpaced sales and marketing environment with opportunities to develop strong organizational and communication skills.


ESSENTIAL FUNCTIONS


  • Answer all incoming calls to the main JAXPORT telephone line and respond to email inquiries from the general JAXPORT email address . Answer inquiries submitted through JAXPORT directing inquiries to the appropriate personnel.

  • Assist in the scheduling and administrative tasks related to customer meetings and Port tours.

  • Maintain and update the Sales & Marketing contact database using software such as Salesforce ensuring data accuracy.

  • Provide general administrative support as assigned including but not limited to filing copying and preparing presentations and documents.

  • Offer assistance and backup support to other staff as needed contributing to the overall efficiency of the department.

  • Communicate effectively with internal and external stakeholders via phone email and in person maintaining a professional and courteous demeanor.

  • Prioritize and manage multiple tasks effectively meeting deadlines and ensuring accuracy in all work.


DIRECT REPORTS

This position does not supervise employees.


OTHER DUTIES:

Performsotheradministrative and related functions asassigned and dictated by departmentneeds.

Maintains files for record retention programs in accordance with the department JAXPORT and other applicable laws and regulations.

MINIMUM REQUIREMENTS

Education:

  • High School diploma or equivalent required.
  • Academic Major Junior/Senior Undergraduate or Graduate in Business Marketing Transportation & Logistics or International Business required.

License/Certifications: N/A

Knowledge:

  • Basic to intermediate Microsoft Office Suite required.

Skills Required:

  • High level of professionalism and resourcefulness.
  • Highly organized strong analytical and research skills.

Travel: Minimal to none.

Other Requirements:

  • Must be able to obtain and maintain a Transportation Workers Identification Credential (TWIC) during employment.
