Job Description

The Clinic Manager at the University Eye Institute High Point is responsible for the daily administrative operations of the clinic ensuring an efficient organized and patientcentered environment. This position provides leadership in office administration staff coordination financial oversight and operational efficiency while supporting faculty clinicians students and patients. The Clinic Manager serves as a key liaison between the clinical academic and administrative functions of the institute.

QUALIFICATIONS:

Education

  • Bachelors degree preferred

Experience and Training:

  • Experience in optometric clinical management

Knowledge Skills Ability:

To perform this job successfully an individual must be able to perform each duty exceptionally.

The requirements listed below are representative of the knowledge skill and/or ability required.

Administrative & Operational Management

  • Oversee and manage the daily operations of the University Eye Institute ensuring smooth and efficient workflows.
  • Implement and enforce clinic policies and procedures in compliance with university and healthcare regulations.
  • Maintain office equipment and supplies coordinating with vendors and university departments as needed.
  • Ensure compliance with HIPAA OSHA and other regulatory requirements related to patient care and clinical operations.

Staff Supervision & Support

  • Supervise front desk optical and administrative staff including hiring training and performance evaluation.
  • Develop staff schedules to ensure adequate coverage while optimizing efficiency.
  • Serve as a resource for problemsolving and conflict resolution among staff and faculty.

Patient Services & Customer Experience

  • Ensure highquality customer service by overseeing front desk operations patient checkin/checkout and scheduling.
  • Address and resolve patient concerns or complaints in a professional and timely manner.
  • Monitor and improve patient flow and wait times to enhance the patient experience.

Financial & Billing Oversight

  • Assist with budget preparation and financial management including tracking clinic expenses and revenues.
  • Oversee billing and insurance processes ensuring accuracy and compliance with coding and reimbursement guidelines.
  • Collaborate with the universitys finance and billing departments to manage patient accounts payments and collections.

Academic & Clinical Coordination

  • Support faculty students and clinicians by ensuring clinic schedules align with academic and training needs.
  • Coordinate with the School of Optometry to facilitate student rotations externships and clinical learning opportunities.
  • Assist with accreditation and reporting requirements related to clinical education and patient care.

Technology & Data Management

  • Maintain and oversee the electronic health record (EHR) system ensuring accurate documentation and reporting.
  • Generate and analyze operational reports identifying areas for improvement and efficiency.
  • Assist with IT and software needs coordinating with university technical support when necessary.

ESSENTIAL FUNCTIONS:

  • Work closely with the Clinic Director on all aspects of clinic management

ACCOUNTABILITY:

  • Member of the University Eye Institute Administrative Team reports to the Clinic Director

MENTAL AND VISUAL DEMANDS:

  • Ability to multitask: being able to alternate easily between entering information on the computer conversing on the phone and greeting a visitor.
  • Be focused in the midst of distractions.
  • Must have recall of facts or names; be meticulous.

PHYSICAL DEMANDS: The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this job.

WORK ENVIRONMENT: The work environment Work is performed in a clinical office setting with direct interaction with faculty staff students and patients. May require occasional evening or weekend hours based on clinic needs.
