Job Description

We are seeking a Mobilisation Officer (Soft Services) to coordinate the smooth and efficient setup of security and cleaning services at new client sites. This includes organizing resources establishing operational frameworks and meeting all sitespecific requirements during the mobilisation phase. Once the site is operational management is handed over to the Key Accounts Manager.

DUTIES
Site Assessment & Planning
  • Conduct site inspections to assess equipment needs security risks and cleaning requirements prior to mobilisation.
  • Develop and implement a mobilisation plan including timelines resource allocation and deliverables as required
  • Identify and address potential challenges that may impact service delivery during the mobilisation phase.
System Onboarding
  • Capture client site details by ensuring accurate setup on Profit Velocity and SAP.
  • Verify that the correct cost centre hierarchy is in place for seamless financial tracking.
  • Confirm clientspecific reporting requirements and ensure compliance through system configurations.
Team Coordination
  • Recruit with HR by assigning security officers and cleaners to meet sitespecific demands while applying the correct grades.
  • Verify that all personnel are briefed on sitespecific policies procedures and expectations.
  • Coordinate with HR to ensure sitespecific contracts are signed and necessary checks (criminal PSIRA medicals etc. are completed.
  • Oversee induction for new staff members ensuring compliance with company standards.
  • Confirm that all purchase orders (e.g. 12month PO agreements) with clients are in place before mobilisation.
Operational Setup
  • Establish communication protocols including radio setup and other sitespecific communication tools.
  • Implement geofencing and clocking systems to accurately monitor staff attendance.
  • Organize access control measures such as key distribution security pass issuance or biometric systems.
  • Arrange and set up onsite operational stations including security monitoring posts and cleaning supply storage areas.
SLA Compliance
  • Accurately upload and review Service Level Agreements (SLAs) on Velocity and ensure adherence during mobilisation.
  • Set up compliance checkpoints to verify all SLA requirements are met before handing over the site.
  • Conduct quality assurance checks to confirm the service setup meets contractual obligations.
Training & Documentation
  • Conduct induction sessions for all new site employees including training on security cleaning protocols and client expectations.
  • Distribute sitespecific operational guides and manuals for personnel.
  • Maintain detailed records of training completion for compliance and audit purposes.
Resource Deployment

  • Oversee the distribution of uniforms tools and equipment according to site requirements.
  • Maintain an uptodate inventory record of consumables such as cleaning chemicals and securityrelated items.
  • Ensure all necessary resources are delivered to the site before operations commence.
Emergency Mobilisation
  • Develop contingency plans for rapid deployment in response to urgent client requirements.
  • Coordinate replacement personnel and equipment swiftly in cases of unforeseen staff shortages or security breaches.
  • Maintain a standby list of trained personnel ready for emergency mobilisation.
Monitoring & Reporting
  • Track progress against the mobilisation plan identifying challenges and resolving them promptly.
  • Generate detailed reports on mobilisation activities key outcomes and lessons learned for process improvement.
Handover Process
  • Conduct a formal handover meeting with the Key Accounts Manager presenting all relevant documentation checklists and operational guidelines as required
  • Ensure the site is fully functional compliant and meets all client expectations before transferring management responsibilities.
  • Document any outstanding tasks or followups required after the handover to ensure seamless operations.


Requirements


  • A minimum of high school diploma or equivalent (required);
  • A minimum of relevant qualifications in operations management or facilities management (preferred).
  • Minimum 2 years of experience in a similar role within the security cleaning or facilities management industry.
  • Familiarity with Profit Velocity SAP or similar operational systems (advantageous).
  • Intermediate competence in MS Office
  • Valid drivers license with the ability to travel between sites as needed.
  • Knowledge of security and cleaning industry standards and practices.
