We are seeking an organized detailoriented Administrative Assistant for our Advisory service line in the Charlotte NC office. This is an exciting opportunity for someone who has a positive attitude a proactive nature and who is collaborative. The working environment is not routine so we need someone who can balance changing sometimes competing priorities.

The ideal Administrative Assistant will be a foundation for team success by providing a wide range of administrative support to assigned practice areas. Duties will require someone who can successfully work independently and within a team environment. Successful candidates will possess a high degree of professionalism including the ability to maintain strict confidentiality. We need someone with good interpersonal communication skills to interact professionally and appropriately with individuals at all levels of our organization and with our clients.

What Work You Will be Responsible For:

  • Performing routine office management responsibilities for the Charlotte office.

  • Creating and proofreading correspondence standard operating procedure documents and presentations.

  • Preparing reports and related work for the assigned practice areas.

  • Providing photocopy scanning binding and other document management services.

  • Assist with onboarding new clients and coordinating communication with other operational teams for new client setup tasks.

  • Coordination of virtual and live inperson meetings as needed. Ensure that meeting rooms are neat with applicable technology and refreshments prepped and ready for use by meeting participants.

  • Creating or downloading and distributing regular reports (weekly monthly bimonthly report etc..

  • Maintaining accurate and uptodate client databases and filing systems.

  • Scheduling creating and launching meetings in MS Teams and other platforms as needed.

  • Making travel arrangements for managers and above to include booking restaurant reservations travel accommodations and car services as needed.

  • Preparing expense reports in SAP Concur and providing guidance to others regarding the use of Concur for travel and expenses.

  • Assisting partners with monthly billing and preparing client invoices on a timely basis.

  • Arranging inhouse and offpremise meals for employees team meetings client events etc.

  • Other administrative duties as assigned.

Basic Qualifications:

  • Associates degree

  • 3 years office administrativerelated experience preferably in a legal setting

Preferred/Desired Qualifications:

  • Intermediate level of proficiency with the Microsoft Office suite of products (Outlook Excel PowerPoint and Word.

  • Excellent communication skills both written and verbal with the ability to interact professionally with colleagues and clients at all levels.

  • Previous experience with SAP SAP Concur NetSuite Replicon Engagement/Document Adobe Citrix ShareFile or JIRA is a plus.

  • Ability to quickly learn and effectively utilize the firms timekeeping and travel expense programs (e.g. Concur).

  • Ability to handle sensitive client data with discretion and professionalism.

  • Strong attentional to detail and organizational skills with the ability to prioritize tasks and meet deadlines.

  • Flexibility and ability to adapt in a fast paced and changing environment.
