Job Description

The Office Manager/Receptionist is responsible for assisting with the operations and traffic flow at the Catholic
Charities headquarters office building. This involves acting as the liaison for building maintenance issues and
being the initial interaction point for Catholic Charities programs. This position will greet visitors assess initial
needs disseminate information and deliver exceptional customer service assistance. This position will answer
questions received in person and by telephone regarding the various Catholic Charities programs and give
out referral information as needed. This position also serves as the point of contact for maintenance vendors
that come onsite and helps identify maintenance and cleaning needs and areas for improvement.

Salary: $28.84 per hour

Location: On site 5 days a week


Receptionist Duties:
Answer questions and give referrals for incoming/outgoing calls walkins and emails every day.
o Entails answering calls and fielding them accordingly addressing visitor questions and needs
and providing an overall welcoming environment.
Provide referrals and respond in a timely manner to inquiries.
Receive mail and packages; assist with sending mail and packages as needed.
Taking and delivering messages to staff.
Maintain and update resource referral information in database.
Enter and track data related to incoming calls walkins and emails into client services database.
Facility and Operations Duties:
Coordinate with building management for repairs and maintenance; acting as point of contact for
vendors onsite for repairs.
Assist with identifying needed repairs or cleaning and areas of possible improvement.
Ensure a safe and secure office environment.
Other duties as assigned.

Education & Experience:
High School diploma or GED plus two years of experience preferred. (Equivalent education and

Experience with San Francisco housing resources and public benefits.
Experience working with persons in crisis.
Knowledge Skills & Abilities:
Spanish language proficiency required.
Possess strong time management and prioritization skills.
Thorough knowledge of San Francisco Service Providers (e.g. substance abuse housing
financial assistance government entitlement programs and money management services)
preferred.
Excellent interpersonal and communication skills.
Able to listen actively and communicate effectively with individuals and groups and be
sensitive to the client population organize own work and followthrough independently.
Highly organized with attention to detail
Excel at teamwork and cooperation.

Possess problemsolving and decisionmaking skills.
Skill in using personal computers and a variety of software applications.

If driving a car is required for the position incumbent must have a valid California drivers license and be able
to provide proof of DMV record and personal insurance (if required.
