Tecks two regional business units North America and Latin America are responsible for Tecks assets through all phases of safe sustainable development operation and closure. The business units are supported by enterprisewide functions that set strategic direction establish standards and provide governance as well as supporting the business through shared services centres of excellence and business partnering.
Based in the Vancouver head office and reporting to the Director Digital Analytics who has the largest team the Administrative Assistant is responsible forall administrative support and assistance to the Operations Excellence leadership team. This is a core role in the Operations Excellence department supporting five senior leaders with calendar management travel expense administrative and other supporting tasks.
The Operations Excellence function comprises several core teams: Management Operating System Improvement Digital Analytics Asset Management and Operational Readiness. These groups work in close partnership with our sites to ensure efficient and standardized operations.
Responsibilities
1. Provides administrative support to senior leaders:
Be a courageous safety leader adhere to and sponsor safety and environmental rules and procedures
Coordinate and maintain calendars with keen attention to detail to ensure effective management
Coordinate logistics and arrangements for regular and ad hoc internal or external meetings and events including catering and A/V
Coordinate all travel arrangements with maximum efficiency and accuracy. Prepare travel itineraries and agenda packages in connection with business travel
Handle email phone and written communications on behalf of leaders when requested
Assist in preparation/formatting of PowerPoint presentations and Excel spreadsheets when required
Plan organize and followup on details related to receptions and events
Prepares general correspondence and documents
Processes leadership expense reports and monitor direct reports expenses for accuracy
Other administrative duties including photocopying printing presentations/reports arranging for courier delivery and pick up etc
2. Organize the activities of the leaders using independent judgment discretion and diplomacy including:
Screen meeting requests visitors and phone calls to identify issues and determine priority
Identify potential problems and shifting priorities in order to adjust schedules if necessary
Develop administration procedures and processes to respond to the operating style of the Executive
Receive visitors using good judgment and a high level of sensitivity and confidentiality
3. Performs Administrative Duties for the Department (as required)

Qualifications

    • 5 years of experience in an administrative or executive support role in a corporate environment with at least 3 years supporting a senior leader
    • Confirmed ability to work in a fastpaced environment
    • Ability to communicate with staff at a variety of levels of responsibility as well as various outside parties while maintaining consistency professionalism and diplomacy
    • Ability to adapt responsibilities based on changing environments and requirements (i.e. sudden meeting changes or travel requirements)
    • Experience coordinating meetings across international boundaries and timezones
    • Strong organization and administrative skills; capable of operating independently with minimal direction to resolve and overcome potential problems and/or sensitive issues etc
    • Assess sensitivity and/or confidentiality of matters and latitude for discretion
    • Adapt administrative/operational procedures and learning or developing new systems to meet the needs of the business and/or leaders
    • Initiative and selfmanagement skills able to work independently with minimal direction and respond effectively to issues that arise in the absence of the leaders
    • Extensive experience in using office software such as Microsoft Word Power Point Excel Outlook Teams and SharePoint
    • A minimum typing speed of 50 words per minute with excellent accuracy
    • Decisiveness and good judgment required to effectively operate in partnership with the Director Digital Analytics and the Leadership Team
    • Excellent English language skills (written and oral); Spanish would be an asset
$57000 $70000 a year
The actual base salary offered is determined based on the successful candidates relevant experience skills and competencies and considers internal equity.
