We are seeking a detailoriented and processdriven Talent Acquisition (TA) Operations Specialist to support and enhance our recruiting operations. This role is critical in ensuring a seamless hiring process by managing interview scheduling routing jobs and offers for approval tracking candidate evaluations generating reports and overseeing the offer letter process. This is a Hybrid role requiring you in our Indianapolis station WTHR 3 days per week.

Responsibilities

  • Interview Coordination: Schedule interviews ensuring seamless communication between candidates recruiters and hiring teams.
  • Approval Routing: Manage and track the approval process for job requisitions and offer letters to ensure compliance and efficiency.
  • Scorecard Management: Monitor and ensure timely submission of interview scorecards to support datadriven hiring decisions.
  • Recruiting Reporting: Generate and maintain recruitment reports using Greenhouse and Excel to provide insights into hiring trends and performance.
  • Stakeholder Liaison: Serve as a point of contact between recruiters hiring managers and other stakeholders to streamline processes and resolve issues.
  • Offer Letter Management: Oversee the creation approval and distribution of offer letters to ensure accuracy and compliance.
  • Process Improvement: Identify opportunities to optimize recruitment workflows and enhance the candidate experience.

Requirements:

  • Minimum 2 years of experience in Talent Acquisition Operations.
  • At least 2 years of experience using Greenhouse ATS to manage recruiting processes.
  • Experience with ServiceNow is a plus.
  • Intermediate proficiency in Excel (e.g. VLOOKUP pivot tables data analysis).
  • Familiarity with recruitment reporting and analytics.
  • Excellent communication and stakeholder management abilities.
  • Ability to prioritize and manage multiple tasks in a fastpaced environment.
