Job Description

Collegiate School seeks an Accounting Specialist to assist with the daytoday functions of the Finance Department with a primary focus on accounts payable and the Schools purchase card program. This position will work closely with the Schools budget managers in all departments. This is an inperson 12month position.

This is a fulltime benefited position reporting directly to the Controller and Risk Manager.

General Responsibilities include:

  • Promote confidentiality of financial and other data at all times
  • Electronically receive invoices and check requests from vendors
  • Review invoices and check requests for proper account codes discounts payment terms and mathematical accuracy and route them to the appropriate budget manager within the electronic invoicing platform.
  • Set up and maintain vendor files in computerized accounting system
  • Handle all aspects of School purchase card program including: setting up new accounts assisting cardholders with online system assist card holders with transactions disputes downloading monthly transactions into accounting system and reconciling charges with actual receipts among others
  • Accurately and independently prepare annual tax forms related to payments to vendors 1099s)
  • Respond to questions and inquiries from faculty and staff related to accounts payable transactions in a professional and courteous manner
  • Post accounts payable batch to the general ledger and prepare payments to vendors using both electronic transfers and paper checks
  • Assist budget managers in accessing and understanding departmental expenses in Tableau
  • Handle bank runs for cash requests
  • Maintain and reconcile various balance sheet accounts each quarter
  • Assist Finance Team with annual audit
  • Promote positive professional relationships with colleagues and vendors

Successful candidates will possess the following qualifications and competencies:

  • Demonstrated experience in accounts payable with a minimum of two years working experience
  • High School diploma
  • Strong skills in data entry organization and ability to work independently
  • Resourcefulness and a high degree of flexibility as well as problem solving and strategic planning ability
  • Proficiency in the use of technology for operational management analysis and communication specifically a Windows based computerized billing system and Excel
  • Excellent communication skills with attention to detail
  • Ability to maintain accurate records meet deadlines use time effectively and handle multiple assignments simultaneously
  • Adherence to all personnel policies procedures and rules continued in the Faculty/Staff Handbook and manage areas of responsibility in a manner consistent with the Schools mission and values
  • Ability to maintain productive relationships with School Faculty and Staff
  • Ability to understand the need for growth and receptive to constructive feedback.
  • JK12 school experience preferred but not required
  • Prior experience with Paymerangs electronic invoicing and payments platform preferred but not required
  • Maintains knowledge of data processes and contributes to design and improvement of those processes
  • Creates basic reports to support departmental/division processes
  • Promotes good data stewardship and demonstrates ownership of system processes and tasks
  • Proficiently uses Microsoft Excel and Google Sheets
  • Serves as troubleshooting pointofcontact for office system(s) and works directly with vendors to resolve issues
  • Engages in selfstudy to improve data skills
  • Experience with a centralized purchasing system preferred but not required
  • Experience in and commitment to the ongoing development and maintenance of an inclusive campus community.
