Main Responsibilities:
The OSAS (Office of Student and Alumni Services) Coordinator is responsible for providing primary support to the Dean of OSAS as well as handling general administrative and office management logistics within the OSAS including operational functions. This position manages OSAS reception area and the hiring/scheduling of OSAS Graduate Assistants. The Coordinator assists the Dean with OSAS budgets.
Principal Duties & Responsibilities:
- Provide administrative support to the Dean including schedule and meeting management reimbursements Kronos timekeeping and other administrative functions. Works with Dean on scheduling office meetings retreats setting requisite agendas and taking minutes. Insures staffing coverage in all areas to maximize student service. 25
- Provides general administrative support for the department such as sorting mail purchasing office supplies and equipment and processing as needed invoices travel card expenses and check requests and reimbursement. Monitors resource utilization with a focus on cost containment and reduction. 25
- Assists the Dean in the planning of the OSAS budget and monthly reconciliations. Problem solves as needed in resolving budgetary variances/discrepancies within the department. Assists the Dean in preparing the annual budget submission and advises other staff on budgetary issues as needed. 15
- Provide staff support for OSAS and occasional Institute events both onsite and offsite (e.g. Orientation barbecue Commencement alumni events). Activities may include processing event registrations generating attendee lists name tags and coordinating logistics with Operations and outside vendors. 15
- Hires and supervises Graduate Assistants and Temporary Staff as needed setting schedules and working in coordination with staff to identify work assignments/projects. 10
- Plans logistical setup of office space for new staff hires; orders office furniture telephones and computer equipment; orients new hires and Bulfinch temps on office policies and procedures and overall Institutes policies. 5
- Perform other related duties incidental to the work described herein. 5
Supervisory Responsibilities:
No direct supervision of other employees but may supervise activities of temporary workers or graduate assistants for specific projects.
Fiscal / Budget Responsibilities:
Handles check requests as appropriate.

Fastpaced office environment. Work is preformed under stress during peak periods of activity; deadlines meetings high traffic and frequent interruptions.Required Experience:
