About the Position:

Welcome to the Undeclared and Academic Advising Center (UAAC) We support all undergraduate students at Cal State Fullerton (CSUF) and our goal is to empower students to seek support and take the lead throughout their academic journey. We are seeking an exceptional individual to join our Academic Advising community as the Undeclared and Academic Advising Center Coordinator (Administrative Support Coordinator II) to support a team of academic advisors and the daytoday function of the collegebased advising program focusing on delivering equitable topnotch advising for new and continuing students. Our Academic Advising mission is to work in a collaborative partnership with students a shared responsibility where the advisor and student are equally invested in the educational process and holistic development of the student with diverse assets needs and backgrounds. The ideal candidate in this role should have a positive attitude and an active energetic mind characterized by highly ethical practices and a commitment to diversity openness flexibility integrity and kindness.

Under the general direction of the Director of Academic Advising Training and Development the Administrative Support Coordinator is responsible for providing administrative support to the Office of Academic Advising (OAA) which includes Undeclared and Academic Advising Center and specialized advising programs (e.g. Early Assessment Program Black Student Success Advising). This position often serves as the initial contact with students faculty staff academic departments/colleges other offices on campus community college partners alumni and the public. The Administrative Support Coordinator assists in coordinating events and is responsible for drafting meeting agendas preparing meeting minutes and generating reports. The Administrative Support Coordinator manages the Office of Academic Advising (e.g. ordering supplies maintaining the UAAC space) monitors department and programmatic budgets and tracks expenses reconciles monthly procurement card statements and supports travel process. The Administrative Support Coordinator serves as the Office of Academic Advising Digital Information Technology Coordinator (DITC) assists with onboarding tasks for new hires and maintains electronic records of department processes and systems needed to facilitate operations. The Administrative Support Coordinator provides support for staff recruitments and student employment hiring and leads trains and schedules student assistants. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and five years of progressively responsible experience in general office clerical or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure policies and procedures. Thorough mastery of English grammar punctuation and spelling. Expertise in using office software packages technology and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop recommend and evaluate proposed solutions. Ability to perform business math analyze budgetary data and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment which may be rescinded if the background check reveals disqualifying information and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.

License/Certifications

A Valid California Drivers License.
