OVERVIEW OF PRIMARY RESPONSIBILITIES:

- The Direct Support Professional Administrator (DSPA) manages the administrative functions of the IDD residential team in collaboration with the DSP Supervisors and Assistant Directors. The DSPA works as part of an interdisciplinary team (clinical staff nurses supervisors directors human resources etc. providing support to the teams who work with adults with intellectual/ developmental disabilities (IDD).
- The DSPA supports the overall operations of the IDD residential program ensuring compliance with state and OPWDD regulations as well as agency policies and procedures. The DSPA helps maintain the program staffing budget and supports continuous coverage to uphold staffing ratios at the residential sites.
PRIMARY FUNCTIONS:
Duties and responsibilities vary in intensity and frequency:
- Support residential settings where individuals with varying diagnoses and differing abilities reside.
- Collaborate with Human Resources DSP Supervisors and Assistant Directors to promote staff recruitment (i.e. job fairs open interviews) screening interviewing selection retention training and professional development.
- Maintain the applicanttracking system and monitor applicants through the hiring process to ensure timeliness of hire.
- Mentor and support employees in maintaining job satisfaction and pursuing career development opportunities to increase retention.
- Track DSP per diem training due dates to monitor compliance with no lapse and provide reminders as needed.
- Complete staff performance agreements which are aligned with Core Competencies.
- Provide performance feedback and initiate progressive discipline as needed.
- Create and update housestaffing schedules for all residential sites to ensure continuous care and budget compliance.
- Implement centralized scheduling.
- Complete change of status forms and shift change letters as needed.
- Submit requisition requests when positions become vacant or there is a newly created position.
- Provide support by covering residences in the absence of the DSP Supervisor.
- Participate in meetings as appropriate to provide support to DSP Supervisors or Assistant Directors.
- Ensures routine maintenance cleaning and tracking of assigned agency vehicle is completed.
- Participate in screening individuals for program vacancies as necessary.
- Report and resolve incidents and compliance issues in a timely manner and train and monitor direct reports for compliance.
- Aid in the consistent scheduling of per diem DSPs.
- Assist with coverage needs and provide essential coverage as needed.
- Utilize technology to review and approve staff timesheets monitoring for accuracy.
- Complete training programs; train others as required and attend departmental agency and relevant community meetings.
- Complete POMs as assigned.
- Participate in oncall rotation providing supervisory support to assigned cluster of residences.
ADDITIONAL FUNCTIONAL / ORGANIZATIONAL SUPPORT:
- Other duties as assigned.
QUALIFICATIONS AND ATTRIBUTES:
- Ability to effectively communicate
- Have computer skills including experience with Excel and the ability to create spreadsheets
- Excellent organizational and time management skills
- Possess excellent interpersonal skills
- Ability to function as a member of a multidisciplinary team
- Possess sensitivity to the service populations cultural and socioeconomic characteristics
- Ability to work independently
- Must maintain current license/ certification/ training
- Possess a valid drivers license work eligibility status and have an excellent driving record
EDUCATION AND EXPERIENCE:
- At least 2 years experience in the field and at least 1 year of supervisory experience in any field.
Or
- Associates degree with 18 months experience in the field preferably with supervisory experience.
Or
- Bachelors Degree in any field with at least 1year experience in the field preferably with supervisory experience.
Or - Internal candidate with at least 1 year of experience in the field and demonstrated capacity for increased responsibility
