Job Description

Job Summary:

Under general supervision Administrative Support Coordinator Is coordinate clerical and administrative support functions for an academic special program or administrative office and/or performance of the full range of secretarial and administrative support functions for an individual administrative head or small to mediumsized group. The incumbent will be responsible for the following job duties:

  • Assignments and projects are varied and complex with longer work cycles.
  • Administrative support projects often involve coordinating prioritizing and monitoring through their completion with accountability for end results and work performed by others.
  • Incumbents may be involved in planning and coordinating work in the unit and/or providing lead work direction and/or training and assistance to others.
  • Incumbents may coordinate and work with individuals at all levels within the organization and may provide training to all levels in standard office procedures.
  • Perform other related duties as assigned.

Minimum Qualifications: Required Education and Experience

High School diploma or its equivalent AND three years of progressively responsible experience in general office clerical or secretarial work or the equivalent.

Required Qualifications

  • If typing/keystroke skills are required a keystroke speed of 50 C.W.P.M. is necessary.
  • A thorough knowledge of office methods procedures and practices and a thorough knowledge of correct English grammar spelling and punctuation.
  • A working knowledge of budget policies and procedures is desired.
  • A thorough detailed knowledge of applicable university infrastructure policies and procedures is required.
  • The ability to independently handle multiple work unit priorities and projects is required.
  • The ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist is required.
  • The ability to perform standard business math such as calculate ratios and percentages track financial data and make simple projections is required.
  • The ability to draft and compose correspondence and standard reports is required.
  • The ability to effectively handle a broader range of interpersonal contacts including those at a higher level and those of a sensitive nature is required along with the ability to work cooperatively with a diverse group of people.

Preferred Qualifications:

  • A thorough knowledge of office systems and the ability to use a broader range of technology systems and software packages is preferred.

Compensation:

Classification: Administrative Support Coordinator I

Compensation: The salary range for this classification is $ 3864.00 to $ 6072.00/month.

The hourly range for this classification is $22.29 to $35.03.

The salary offered will take into account internal equity and experience among other factors.

Position Information:

Work status: Fulltime Parttime Temporary Hourly OnCall Intermittent Nonexempt positions.

Schedule: To be arranged by hiring department.

* A pool of qualified candidates will be established for current and future vacancies. Qualified applicants will be kept active from January 1 2025 through December 31 2025.

This position is a designated position in the California State Universitys Conflict of Interest Code. The successful candidate accepting this position is required to file Conflict of Interest forms subject to the regulations of the Fair Political Practices Commission.

Conditions of Employment

Background Check

Satisfactory completion of a background check (including a criminal records check) is required for employment. CSU will make a conditional offer of employment which may be rescinded if the background check reveals disqualifying information and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

Drivers License Check

Possession of a valid Drivers License is required. Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid drivers license and reflects driving record.

Mandated Reporter

The person holding this position is considered a mandated reporter under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.

Campus Security Authority

This position is designated as a Campus Security Authority (CSA) position under the federal Jeanne Cleary Disclosure of Campus Security Policy and Campus Crime Statistics Act. CSAs are responsible for reporting allegations of Clery Act Crimes reported to them or that they witness. CSA training is required.
