Job Title:Business Services Professional Senior to Principal (open rank)

Position #: Requisition #:36550

Job Summary:

The Business Services Professional provides critical professional and operational support to the Department of Radiology Office of the Chair in a variety of areas including daily office operations executive support and finance. This position is responsible for the oversight and implementation of general administrative processes for the office of the Chair. This person acts independently and exercises initiative to achieve Department of Radiology goals and missions maintains confidentiality and establishes and maintains positive working relationships. This position supports the Chair Vice Chair of Clinical Operations and the Vice Chair of Finance and Administration. This position works with the executive faculty to create quarterly clinical administrative call schedule. This position collaborates with multiple departments executive assistants and all levels of University Staff and leadership. This position is the facilitator of faculty promotions and tenure processes in the School of Medicine for Radiology faculty at Childrens Hospital Colorado University Hospital and all affiliate hospitals. This position is responsible for complex scheduling at a high level. This position coordinates plans and executes meetings official functions on and off campus in compliance with university policies. This position provides office oversight for facility management requesting office keys and setting up telephones for new faculty and staff. This position creates and maintains department records according to the record retention policy. This position assists with project management tasks as assigned.

Key Responsibilities:

Business Service Senior Professional

Operations Management: 50

  • Manage the office of the Chair of Radiology in a proactive and professional manner.
  • Responds to inperson written and telephone requests from peers faculty staff and other high level executive assistants.
  • Serves as the first point of contact for facilities issues.
  • Creates clinical administrative call scheduling.

HR related activities: 10

  • Facilitates faculty promotions and tenure processes in Interfolio.
  • Updates department communication service with new and departing faculty and staff.

Logistics and Procurement Support: 40

  • Schedule and monitor travel procurement of goods and services for the organization and maintain records.
  • Communicate travel and purchase polices to maintain compliance.
  • Creates purchase orders requisitions payment vouchers assists with vendor setup requests in CU Marketplace.
  • Prioritize and schedule complex internal and external meetings and events including venue and menu selection as required.
  • Manage and procure annual memberships to American College of Radiology and Colorado Radiological Society for all Radiology faculty members.

Business Services Principal Professional:

Work performed in addition to examples above.

Operations Management: 50

  • Acts as subject matter expert in the promotions and tenure process for the faculty
  • Acts as an expert in leading and coordinating complex projects
  • Organizes and attends high level meetings as needed to take notes and always maintain confidentiality especially when transcribing.
  • Daily administrative support for the Office of the Chair: screening phone calls for appropriate response; daily and special correspondence for the Department; mail recovery and distribution.

Logistics and Procurement Support: 40

  • Communicate travel and purchasing polies to maintain compliance. Creates purchase orders requisitions payment vouchers assists with vendor setup requests in CU Marketplace.

Work Location:

Onsite this role is expected to work onsite Monday through Friday and is located in Aurora CO.

Qualifications:

Minimum Qualifications:

Business Services Senior Professional

  • A bachelors degree in business business administration healthcare administration public administration communications or a directly related field from an accredited institution and 2 years of professional level experience in an academic healthcare environment.

Business Services Principal Professional

  • A bachelors degree in business business administration finance accounting education social sciences healthcare administration public administration communications or a directly related field from an accredited institution.

The position requires extensive diverse and progressively responsible experience including direct responsibility for executive level calendar management for multiple executives event planning for internal and external events.

A combination of education and related technical/paraprofessional experience may be substituted for the bachelors degree on a yearforyear basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Executive level administrative support for multiple executives.
  • Experience working with and maintaining compliance with Universitys administrative and financial policies.
  • Experience in Universitys procurement and travel software.
  • Experience in high level clinical administrative call scheduling.
  • Experience in promotions software Interfolio.

Knowledge Skills and Abilities:

  • Ability to communicate effectively both in writing and orally.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Outstanding customer service skills.
  • High level of integrity and ethics.
  • Demonstrate initiative by assessing systems making suggestions for streamlining cost savings improving workflow and other process improvements.

The above salary range or hiring range represents the Universitys good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation depending on the level.
