Job Description

Job Summary

The Executive Assistant provides comprehensive support to the Executive Team at Gurgaon in managing administrative tasks and facilitating communication. The executive assistant is also responsible for managing the calendar of the CEO ensuring and helping in organizing the calendar and managing the daytoday priorities most effectively.

Responsibilities
  • Understand the values and vision of the organization
  • Protect the Intellectual Property
  • Adhere to all the policies and procedures
  • Liaise with other line functions to collect or provide relevant data
  • Responsible for organizing the CEO calendar by effectively accommodating CEOs meetings / appointments and travel arrangements (Tickets Accommodation Documentation Visa transportation & Travel Itinerary) in the order of business priority.
  • Responsible for drafting and documenting internal & external communication for CEOs office and Executive Leadership.
  • Support the Executive leadership in preparation of Reports and presentation for highlevel interactions.
  • Maintain at most confidentiality and professionalism in handling information.
  • Responsible for recording and iterating the minutes of the meeting.
  • Liaison across functions and ensure seamless communication vendor payments and notify on the GAPs in process flow to executive leadership.
  • Act as a trusted partner to the executive team anticipating needs and proactively addressing challenges.

Job
  • Must be dynamic flexible and possess perseverance skills
  • Expert knowledge of principles and practices of human resources
  • Handson experience in employee relations and day to day operations
  • Knowledge of statutory compliance/ Labor Laws
  • Experience in writing policies and making group presentations
  • Excellent interpersonal skills and computer literacy are essential
  • Must have excellent verbal and written communication skills
  • Must have integrity and the ability to handle confidential information

  • Excellent communication and interpersonal skills with the ability to engage with all levels of employees and management.
  • Strong problemsolving decisionmaking and conflictresolution abilities.
  • Ability to work in a fastpaced dynamic environment and handle sensitive issues with discretion and professionalism.

  • Ability to manage multiple priorities and projects simultaneously.
  • Should have understanding of business objectives and organization structure
  • The candidate must have strong work ethics and trustworthiness
  • Ability to handle sensitive information with confidentiality discretion and integrity while ensuring accuracy and attention to detail.
  • Must be highly collaborative and team oriented with commitment to excellence.

Preferred Skills:

Job
  • Prior experience as an Executive Assistant or in a senior administrative role in supporting the Leadership.
  • Selfmotivated fast learner with the ability to operate independently
  • Must have proven track record of impacting results throughout career
  • The candidate must be a highly versatile thinker who can assimilate knowledge and has understanding across different industries products technologies disciplines etc.
  • Should be familiar with tools like MS Office SharePoint etc.
Personal
  • Demonstrate proactive thinking
  • Should have strong interpersonal relations expert business acumen and mentoring skills
  • Have the ability to work under stringent deadlines and demanding client conditions
  • Ability to work under pressure to achieve the multiple daily deadlines for client deliverables with a mature approach

Other Relevant Information
  • Masters in Business Administration or communication or any related field.
  • A prior experience of 10 years or above as an Executive Assistant or in senior administrative role in supporting the Leadership.
  • This is an onsite role based in our Gurgaon office.
