Job Description

This is a remote position.

HighLevel Organization & Attention to Details Required for this Executive Administrative Assistant Role


FullTime 40 Hours per week

Starts at PHP 35000

US Business hours: 9:00 am to 5:00 pm New York GMT04 (Fulltime) 10:00 pm to 6:00 am Philippine Time Monday to Friday


About the Role:

Your organizational expertise and attention to detail will be the backbone of our client s team operations. You will ensure that every trip component is accounted for and executed flawlessly. In this pivotal administrative role you will manage bookings organize travelrelated documentation maintain internal calendars and most importantly own and manage the online itinerary platform Travefy.

Key Responsibilities:

  1. Manage Bookings & Itineraries

  • Create and update detailed itineraries in Travefy with complete accuracy.

  • Organize track and confirm all bookings including flights accommodations activities and all other bookingrelated items.

  1. Organize & Streamline Operations

  • File all bookingrelated documentation properly in Google Drive and update the WIP document to keep the team aligned.

  • Update and manage team calendars with travel schedules and key milestones.

  • Take initiative in identifying missing trip components flagging incomplete details and ensuring all necessary followups with suppliers or internal team members are strictly completed.

  • Proactively alert the team when key trip elements are unconfirmed or need further attention suggesting solutions where applicable.

  1. Coordinate with Suppliers & Research Options

  • Communicate with suppliers to confirm bookings and arrangements.

  • Research and recommend dining options based on client preferences and availability (experience with highend restaurant booking systems like Amex Global Concierge is a plus).

  • Assist with air travel booking processes as needed.

  1. Manage and Adapt to the Evolving Tech Stack

  • Learn and master the current manual processes before automation is implemented.

  • Oversee and manage automated processes as the tech stack evolves.

  • Maintain responsibility for Travefy itinerary building ensuring continued accuracy and organization

Performance Milestones:

  • 30 Days: Learn Travefy and internal processes successfully managing itinerary updates and bookings.

  • 60 Days: Maintain the team s booking organization independently and proactively identify missing trip elements.

  • 90 Days: Manage all itineraries and bookings with full autonomy ensuring flawless with minimal oversight.

Key Performance Objectives (KPOs):

  • Maintain 100 accuracy in itinerary management within Travefy.

  • Proactively identify and resolve missing trip components for smooth team operations.

  • Coordinate bookings and supplier followups efficiently.

  • Maintain accuracy in manual tasks and successfully oversee and adapt to changes in the tech stack.

Qualifications and Requirements:

  • Experience in travel coordination administrative support or itinerary management.

  • Familiarity with Travefy or a similar itinerarybuilding platform (highly preferred but not required).

  • Background in global concierge services (e.g. Amex Fine Hotels & Resorts) is a plus.

  • Proficiency in Google Drive calendar management and document organization.

  • Ability to liaise professionally with suppliers when necessary.

  • Flexibility to adapt to shifting schedules and potential future changes in work hours
