Profile Requirements:

  • Strong written and spoken English skills.
  • 3 years proven experience in personal/executive assistant.
  • Experience in job management software such as ServiceM8.
  • Exceptional communication skills.
  • Proficiency in Microsoft Office Suite.
  • Experience using Xero software (advantage) inputting invoices and sorting administrative functions.
  • Strong organizational abilities and discretion.
  • Ability to work across a variety of different tasks in a fast paced environment.
  • Capacity to carry out ad hoc admin tasks independently and efficiently.
  • Past experience liaising with clients is essential with strong attention to detail.

Core responsibilities:

  • Manage executive schedules prioritize communications and handle travel arrangements.
  • Facilitate communication between executives and stakeholders drafting and proofreading correspondence.
  • Organize files conduct research and maintain confidentiality of information.
  • Assist in project planning and coordinating logistics and tracking timelines.
  • Cultivate strong relationships with team members and clients providing proactive support.
  • Assist with general admin tasks for the business.
  • Respond quickly and professionally to executive requests.
  • oversee inventory management to ensure smooth daytoday business operations.
  • Prepare and send invoices accurately and in a timely manner.

NOTE: This is a permanent remote position structured as an Independent Contractor arrangement. Selected candidates must have their own equipment and reliable internet connection. Additionally they will be responsible for managing their own taxes and benefits. Compensation is offered on a biweekly basis.
