QUALIFICATIONS:
- High School Graduate
- Proficiency on Microsoft Word Excel Access and Publisher and other computer software
- Ability to operate business machinery
- Communication skills
- Organizational skills
Job Goal:
To create an environment that is both nurturing for the students growth and professional for the development of the staff and teachers.
Essential Functions:
- Office Maintenance
- Assist parents on a daily basis
- Assist students on a daily basis
- Answer phones and the door
Personnel Record Keeping:
- Keep a record of daily absences of staff members arranging for teacher substitutes when needed. Arrange class coverage when there is no substitute available.
- Prepare biweekly payroll
- Be sure all personnel addresses telephone numbers are up to date
- Keep emergency data on each staff member
- Responsible for reporting all opportunity notices and recommendations for hire of personnel to the Human Resources office
- Prepare documents for faculty rating next years assignment and observation from Principal; sending all to Superintendents Office and file copies
- Responsible for keeping CSD forms for teachers
Correspondence:
All correspondence from Principal to parents faculty staff and administration
Conference Schedule:
- Prepare parentteacher conference schedules schedule middle school conferences with parents type and mail both request and confirmation conference letters
- Prepare documents for teachers conference schedules
- Monthly Building Reportsto Superintendent
- Report monthly building and use activities
- Monthly Board Report with student principal and assistant principal activities
Bookkeeping and Accounting:
- Keep track of multiple accounts for both principals and teachers keep receipts and maintain spreadsheet
- Responsible for payment of field trip expenses by making bank deposits and sending correct information to administration
Budget Preparation:
- Prepare budget forms for faculty
- Calculate bid list items
- Enter requisition into the system
- Check in supplies as they are received by the office
- Send signed paperwork to the business office for payment
- Call vendor whenever a problem arises with merchandise
Office Machinery:
- Responsible for care and reporting needed maintenance for machinery in building; computerstelephones laminator office printers zone printers etc.
End of Year Activities:
- Send names to Home and School for 8thgrade students receiving plaques
- Prepare certificate of completion for 8thgrade students
- Assist in the end of the year faculty checkout
- Make sure all faculty end of school year details are complete
Summer Work:
- Requisition orders for all materials and books placed by July 1st
- Checkin and identify bid and requisitioned items for regular and special education
- Help with preparation of school calendar
- Prepare pertinent information for all staff members for the new school
- Prepare for the opening of school
