Description

The Program Manager Supply Chain is responsible for leading and coordinating product risk activities across a complex academic healthcare system ensuring timely and compliant responses to recalls of medical devices pharmaceuticals laboratory reagents hospital supplies and other product domains used in the healthcare system.

This role is vital in protecting patient safety ensuring regulatory compliance and optimizing supply chain resilience in a teaching hospital and researchdriven healthcare environment.

The Program Manager will collaborate with clinicians researchers pharmacy procurement supply chain risk management operations and regulatory teams to manage product risks efficiently and prevent disruptions to patient care education and research.

Primary duties and responsibilities:

1. Manages Response and Tracking of Recalled & Defective Products

  • Develop and oversee a comprehensive recall management program across hospitals clinics research labs and academic medical centers.
  • Serve as the primary liaison between suppliers manufacturers government agencies (FDA CDC Joint Commission) and internal healthcare teams regarding recalls.
  • Ensure immediate notification and response to recalls affecting patient care clinical trials teaching laboratories and hospital operations.
  • Manage a realtime recall tracking system ensuring accurate documentation stakeholder engagement risk assessment and regulatory reporting.
  • Lead root cause analysis and corrective action planning to prevent future recalls and supply chain disruptions.

2. Manages Regulatory Compliance & Risk Mitigation

  • Ensure full compliance with FDA recall regulations Joint Commission standards CMS requirements and institutional policies.
  • Conduct recall readiness audits assessing vulnerabilities in medical inventory and research supply chains.
  • Work with Legal Risk Management and Compliance to manage liability risks and corrective action plans related to recalled products.
  • Implement blockchain and AIdriven tracking technologies to improve traceability and recall resolution times.
  • Other duties as assigned.

3. Coordinates Process Improvement & Technology Integration

  • Leverage AIpowered recall alert systems ERP integration and predictive analytics to enhance recall response.
  • Collaborate with IT teams to integrate recall tracking into EHR (Epic Cerner) and inventory management systems (SAP Workday Oracle).
  • Lead continuous process improvement initiatives to streamline recall workflows across clinical and research environments.

4. Coordinates Crossfunctional Collaboration & Communication

  • Coordinate with hospital administration supply chain pharmacy biomedical engineering surgical teams and laboratory managers to execute recall response plans.
  • Develop standardized recall response training for medical nursing pharmacy and research staff.
  • Provide recall dashboards and risk assessments to executive leadership ensuring transparency in recall resolution performance.
  • Additional Duties as Assigned

Minimum Qualifications:

  • Education Bachelors degree in Supply Chain Management Healthcare Administration Business Regulatory Affairs or a related field Experience
  • 5 years minimum experience with experience in recall management supply chain compliance risk management or regulatory affairs within academic healthcare teaching hospitals or research institutions.

Required Knowledge skills and ability requirements:

  • Strong project management process improvement and crossfunctional leadership skills.

Preferred Qualifications Education:

  • MHA MBA or MS in Supply Chain Experience
  • Experience managing recalls within a multihospital system medical school or research environment is highly preferred.

Certifications:

  • Certified Materials Resource Prof (AHRMM)
  • Certified Professional of Supply Chain Mgmt (ISM)
  • Six Sigma Green Belt (CSS)
  • Management Professional Clinical Research (PMI)

Preferred Knowledge skills and ability requirements:

  • Expertise in medical device pharmaceutical and hospital supply recalls including researchspecific materials.
  • Strong knowledge of FDA recall classifications (Class I II III) Joint Commission accreditation standards and CMS compliance.
  • Experience integrating EHR (Epic Cerner) and ERP (SAP Workday Oracle) systems for recall tracking.
