Summary: Serves as support to public works in municipal/city government setting. This position assists the public works department director operations supervisors in the various functions and programs of the department. This position is responsible for the performance of a wide variety of tasks which may require the application of independent judgment. Work also includes ensuring proper work orders workflow work order and invoice processing inquiries from contractors material delivery intake and interaction with the existing contractors residents and vendors. Performs other related duties involved in the daytoday operations of the department. REPRESENTATIVE DUTIES o Performs a variety of responsible duties relative to assisting the operations of the public works department. Participates and assists in the daytoday administration activities of the office. Researches compiles and summarize data when requested. o Reads and screens incoming correspondence and reports makes preliminary assessment of the importance of materials and organizes documents handles some matters personally and forwards appropriate materials to the director. o Performs data entry including researching verifying and correcting information to be entered into computer application software; creates simple forms and formats or statistical charts; runs and prints reports. Enters service requests work orders invoices and other documents into an enterprise asset management/work order software system. o Utilizes M.S. Office software suite to create documents and spreadsheets. Utilize mail merge and other intermediate software features of Excel and Word. o Accepts telephone calls emails from residents contractors and the public. o Ensuring proper work orders workflow work order and invoice processing inquiries from contractors. o Provides information guidance forms and relevant information to the public. Emphasizing friendly and courteous service to all. o Processes documents requiring various procedural knowledge specific to area of assignment; reviews documents for sufficiency obtains necessary signatures and routes appropriately maintaining followup; provides information to other departments applying knowledge of departmental rules regulations and procedures. o Performs call center duties during hurricane/emergency operation center activation. Minimum Education and/or Experience Two year Associates degree or equivalent in Business Administration Public Administration or related degree with one 1 year of public works assistant work experience OR High School Diploma with three 3 years of satisfactory experience and training which demonstrates the knowledge skills and abilities to perform the duties stated above.
