The Registrar Staff Assistant plays a vital role in supporting the daily operations of the Registrars Office providing essential services to students faculty and staff. This position serves as a first point of contact for inquiries assisting with phone calls and student walkins while ensuring seamless coordination between the Registrars Office and the Academic Advising Center. Responsibilities include processing transcript and diploma requests managing enrollment and degree verification inquiries and assisting with student registration and records maintenance. The Registrar Staff Assistant also supports various administrative tasks including course withdrawals major and minor updates and special projects. Accuracy efficiency and a strong commitment to student service are essential to success in this role.ESSENTIAL JOB DUTIES
Provide frontline support by answering phones assisting student walkins and directing them to appropriate resources in the Registrars Office or Academic Advising Center.
Assist the Registrar Services Coordinator with managing the main office email inbox as assigned including responding to inquiries related to enrollment degree verifications and transfer college reports as well as processing data entry for student Intent to Graduate submissions.
Process transcript and diploma orders through Parchment ensuring timely and accurate delivery.
Manage the registration process for all contract courses including directed studies Performing Arts production projects and practica and Thesis registration.
Process verification requests from the National Student Clearinghouse that require manual research.
Receive and process requests for supplemental classroom reservations.
Facilitate course withdrawals by reviewing and processing student requests according to institutional policies.
Assist the Advising Services Coordinator with student major and minor requests guiding students through the major change approval process and updating our student information system.
Maintain confidentiality and accuracy in handling student records in compliance with institutional and FERPA regulations.
Complete special projects and administrative duties as assigned which may include assistance with degree clearance course schedule data entry and administrative student registration for special programs.
QUALIFICATIONS Qualifications are deemed required or preferred and represent what is needed to effectively perform the job.
Associates Degree required Bachelors Degree preferred
12 years of experience in higher education administration required
KNOWLEDGE SKILLS AND ABILITIES This may be representative but not allinclusive of the knowledge skills and abilities commonly associated with the job.
Must be computer literate with proficiency and working knowledge of Microsoft Word/Google Docs and Excel/Google Sheets.
Experience working with a student information system or similar database system.
Experience working with students directly in a customer service capacity.

Repetitive movements occasional lifting of up to 10 pounds reaching lifting stooping and the ability to read a computer screen and read fine print will be expected.

COMPENSATION
$25 $30 hourly commensurate with experience.
