You will be updated with latest job alerts via emailThe Ontario Securities Commission (OSC) is the statutory body responsible for regulating Ontarios capital markets in accordance with the mandate established in the provincial Securities Act and the Commodity Futures Act. The mandate of the OSC is to provide protection to investors from unfair improper or fraudulent practices to foster fair efficient and competitive capital markets and confidence in the capital markets to foster capital formation and to contribute to the stability of the financial system and the reduction of systemic risk. This mandate is performed through policy operational and enforcement activities. The OSC also contributes to national and global securities regulation development.

The Finance and Administration Division exercises leadership through its strategic allocation of financial resources and managing of financial risks proactively to meet OSC regulatory responsibilities. The division provides financial management and analysis budgeting and forecasting treasury procurement and contract management services. In addition the division is responsible for Administration providing workplace design and facilities management services.
The Facilities Project Manager is the internal project lead to support the OSC Workplace Modernization Project which aims to rightsize the organizations real estate footprint and comply with the Realty Directives space usage guidelines. The Project Manager plays key role in supporting OSCs vision to create an environment that integrates culture technology and physical spaces to promote employee engagement wellness productivity and collaboration.
What You Will Do
Generate project status dashboards highlighting risks and opportunities as they emerge and proactively take steps to mitigate risks. Prepare progress reports and presentations for Executive team.
Manage the daytoday project activities and responsibilities of various stakeholders according to the project plan ensuring appropriate resources have been allocated employing project management best practices.
Monitor progress of the various project teams to ensure timely completion of deliverables and provide regular project status update reports to Manager and Executive.
Arrange meetings for project team members and ensure proper agendas and materials have been drafted and circulated in advance.
Manage risks and issues parkinglot items problem areas resolutions and project risks and escalate as necessary.
Manage external resources (Infrastructure Ontario PMSP consultants & contractors) and internal stakeholders to meet deadlines and budgets.
Review and approve proposed Architectural MEP drawings at all appropriate design stages to ensure alignment with project scope and budget.
Manage contracts extensions change orders and review and validate charter budget various class budgets and tender results.
Manage invoicing including preparation of billing estimates for quarterly financial accruals and ensure invoice details and breakdowns align with Finance requirements.
Collaborate with Finance team to develop and implement Project Accounting and Reporting for the Workplace Modernization project within the ERP system.
Maintain Cost Control Log and provide regular reports on all budget allocations cost estimates contracted commitments and change orders for regular financial reporting.
Prepare scenarios (stack plans conceptual floor plan/seating layouts and assignments) for presentations to support Executive decision making.
Address current office space issues and provide a creative workspace and coordinate technology solutions with IT which support a flexible hybrid workplace model.
Plan and execute moves in coordination with internal and external stakeholders/service providers.
Liaise with project team to identify changes to the work environment (physical policy technology etc) and develop a stakeholder registry and change strategy incorporating resistance management risk mitigation plans and Change Champions.
Create communications plan including developing templates of standard communications developing key messages and drafting content.
Develop guidance documents for employees and people managers to reorient to the workplace.
Maintain currency of floor plans and floor space details in AutoCAD and OfficeSpace.
Maintain booking and office/desk assignments in OfficeSpace.
Qualifications for Success
Minimum 5 years of direct and relevant project management experience with a focus in interior design and Design Build commercial construction in Ontario.
Completion of an undergraduate degree diploma or certificate in architecture interior design engineering construction management or recognized equivalent required
Demonstrated success and ability to navigate through site problems recommend solutions and keep the project on schedule and budget
Knowledge of building construction principles and processes
An understanding of how to read technical and shop drawings POs RFIs RFQs and COs
Experience with applying change management principles
Project Management Professional (PMP) certification is an asset
Knowledge of OPS Procurement and Realty Directives and Supply Chain Guidelines is a benefit
Demonstrate the ability to prioritize under pressure without specific direction while maintaining business priorities
Excellent time management organization attention to detail presentation and prioritization skills
Proficiency in AutoCAD is required
Proven experience working within a team and effectively collaborate with others for a mutually beneficial project completion
Ability to work closely and professionally with clients and vendors
Excellent verbal and written communication skills and ability to work with clients
