We are currently seeking an Administrative Coordinator to provide daily administrative support to operational leadership and project delivery teams. Reporting to the president you will be performing a range of duties including but not limited to:
General Administrative & Documentation Support
- Provide daily administrative support to Operational Leadership and project delivery team members.
- Develop professionalize and reformat company documents based on templates some of a highly confidential/sensitive nature with high degree of speed and accuracy.
- Help to build and maintain Vendor Information database and Technical Documents database.
- Support a number of Strategic Objectives by updating files and holding the owners accountable for updates (biannual CV updates consistent company branding etc..
- Copy and distribute internal and external communications.
- Coordinate conference registrations and client events as .
- Coordinate the weekly Canadian and monthly meetings.
- Assist formatting and finalizing Technical Reports for public disclosure and other technical material.
- Maintain onpremises and cloudbased file storage systems in good order routinely eliminating duplicate and redundant information.
- Answering general office phone and emails and directing the calls or emails to the correct person.
- Coordinate travel and accommodation arrangements as .
Office Coordination & Technology Support
- Liaise between various internal and external entities to coordinate provision of office supplies kitchen supplies office access and technologies.
- Help to ensure daily functions of the office are smooth and consistent.
- Provide support in organizing staff meetings client meetings and other events as including catering needs if needed.
- Manage visitor/guest access and processes.
- Assist the accounting department with filing and banking.
- Assist with managing offsite storage of archive materials.
- Coordinate with Halyard and Micon management over merger of the two corporations.
- Keep the Micon Portal updated with Proposal and Project data and if necessary issue new proposal and project numbers to managers in both Micon Canada and UK offices.
- Keep Micon Linkedin page and Website updated with latest information including updating WordPress and arranging for Micon articles and website information to be translated into French and Spanish.
Required Skills Knowledge and Abilities
- Minimum 3 years Business Administration experience working with a leadership team.
- Knowledge in formal documentation formatting filing and tracking techniques preferably using Microsoft Office tools specifically Microsoft Word and PowerPoint as well as Outlook and Teams.
- Detail oriented with strong English language writing editing and proofreading skills including business writing.
- Strong organizational / time management skills with an ability to handle multiple tasks and effectively balance priorities.
- A selfstarter with strong ability to work independently with minimal supervision.
- Familiarity with Wordpress and other contentmanagement systems would be useful.
- Strong aptitude and interest for learning new technologies.
- Ability to maintain confidential and sensitive information with diplomacy.
- Excellent interpersonal communication and problemsolving skills.
- Possesses strong decisionmaking ability.
- Experience with organizing and coordinating formal meetings.
- Knowledge of business travel & demonstrated experience in travel planning.
