ESSENTIAL DUTIES FUNCTIONS AND RESPONSIBILITIES
- Serves as timekeeper for the departments staff; maintains and prepares files for staff.
- Answers incoming phone calls takes messages transfers calls always in a professional manner. Maintains adequate clerical supplies and medical forms at all workstations and the reception area.
- Performs or actively facilitates faxing of appropriate documents and records to other facilities or medical providers.
- Processes departmental mail and routes correspondence to the appropriate individual(s). Prepares correspondence of routine nature based on brief verbal instructions or guidance from supervisor.
- Organizes monitors and displays daily clinical schedule based on supervisors instructions.
- Functions as records management resource for department if assigned.
- Assists with patient satisfaction surveys.
- Greets and directs patient families and visitors utilizing public relation principles and practices.
- Supports and promotes unit facility and FDIHB vision and mission objectives.
- Functions as telecommunication expert and coordinator via Health Information Management to ensure effective departmental communication.
- Processes and forwards consultation request submitted for the patient.
- Assists with orientation of new staff.
- Uses the Resource and Patient Management System (RPMS) appointment package schedules (as directed on the PCC or by telephone) and creates/confirms patient appointments daily. Consults with providers when conflicts arise. Runs daily computer appointment lists for all providers.
- Inputs patient information into the electronic data system to generate a visit record for the patient.
- Processes request for Medical Record cancels and reappoint patients mails noshow reappointments daily utilizing electronic data system.
- Records and maintains daily census acuity records and verifies completeness of visitor records ensuring adherence to required established standards prior to visitor record being forwarded to Medical Records.
- Assists with compiling an accurate and complete record for transfers.
- Assists in the clinical work areas as needed.
- Assures patient understanding of next and/or in between visits by giving appointment slips and reviewing proper instruction sheets with the patient.
- Ensures compliance with Privacy and HIPAA standards and supports compliance with established Center for Medicare S Standards.
- Adheres to Universal Precautions Infection Control protocols and established Hand Hygiene Standards.
- Ensures the safe and accurate processing of all documents.
- Reports safety issues or concerns to Security Safety Officer or Nurse Executive.
- Individual responsible and accountable for ensuring completion of or attendance at required annual mandatory trainings.
- Attends meetings in the evenings and on weekends as needed or requested.
- Performs other duties as assigned.
MANDATORY MINIMUM QUALIFICATIONS
Experience: One 1 year of direct work experience.
Education: High School Diploma or Equivalency (HSE).
