SUMMARY:
The SeniorAdministrative Assistant provides comprehensive administrative support to theCEO and senior executives by managing complex calendars coordinating meetingsand preparing necessary materials including presentations and basic data analysis. They manage all travel arrangements including booking flightsaccommodations transportation and expense reporting. This roleinvolves meeting coordination including preparing agendas and transcribingminutes as needed as well as supporting both executiveled and specialprojects. The Senior Administrative Assistant also plays a key role insupporting Human Resources by assisting with the coordination of HRrelatedmeetings and initiatives. Additional duties include greeting and setting up forvisitors and meetings handling inquiries managing certain facilityrelatedtasks and identifying process improvements for administrative efficiency.
PRIMARY RESPONSIBILITIES:
1. ExecutiveSupport: Provide direct administrative supportto the CEO and senior executives including managing calendars arrangingmeetings and preparing materials for meetings and presentations as needed.
2. TravelArrangements: Plan and coordinate travelitineraries including booking flights hotels and ground transportation forexecutives and visitors.
3. ExpenseReporting: Generate expense reports and reconcilereceipts utilizing the time and expense program.
4. CalendarManagement: Ensure efficient time management and scheduling of appointmentsmeetings and travel arrangements.
5. ProjectSupport: Assist with special projects asassigned including research basic data analysis event planning and thecoordination of internal and external events/meetings.
6. AdministrativeSupport to Human Resources: Assistthe HR department with administrative tasks such as coordinating HRrelatedmeetings and supporting HR projects and initiatives.
7. Answer telephones and handle inquiriesappropriately and professionally as required.
8. Meet and greet clients and visitors.
9. Handle certain facilityrelated matterssuch as inspections and emergency drills.
10. Attend meetings and create transcribeand distribute meeting agendas and meeting minutes as required.
11. Proofreading and editing materials.
12. Identify process improvements and documentprocedures for accomplishing administrative functions.
13. Other duties as assigned.
KNOWLEDGE AND SKILL REQUIREMENTS:
AssociatesDegree or its equivalent preferred.
7years of experience in an administrative support role with at least 3 yearssupporting senior executives.
Strongworking knowledge and demonstrated proficiency in Microsoft Office suiteincluding Excel Word Outlook and PowerPoint.
Strongorganizational and multitasking skills with attention to detail.
Professionaltelephone demeanor and protocol.
Excellentverbal written and peopleoriented skills.
Discretionwith confidential information.
Effectivetime management skills and the ability to guide others with time managementchallenges.
Abilityto identify complex problems and review related information to develop andevaluate options and implement solutions.
Demonstratedproficiency in managing competing demands through strong prioritization skills.
Proofreadingand checking for errors in documents including grammar spelling andpunctuation with a high level of attention to detail.
Successfulmultitasking skills are required to effectively handle ongoingresponsibilities in a timely manner.
WORKING CONDITIONS:
Working conditions are normalfor an office environment. This is an inoffice role.
