Job Description

Knowmore legal Service is seeking an Administration Officer to provide administrative support to the Elder in Residence. The role is designed to assist in managing daytoday activities ensuring smooth operations and enabling the Elder in Residence to deliver culturally informed legal services. This is an identified position for Aboriginal and/or Torres Strait Islander candidates in accordance with the provisions of the AntiDiscrimination Act to ensure representation and cultural understanding within the team.

The Administration Officer will be responsible for calendar management secretarial support data entry time management and general administrative duties.

The role is based at Knowmores Sydney office and requires the successful candidate to work 4 days a week 5 hours per day.

Duties and Responsibilities

Calendar Management:

Schedule and coordinate meetings appointments and events for the Elder in Residence ensuring timely reminders and preparations.

Manage conflicting schedules and prioritize urgent appointments or events.

Ensure that all relevant documents and materials are prepared in advance for meetings and engagements.

Administration Support:

Provide administrative support for the Elder in Residence including handling correspondence (emails letters and phone calls) as required.

Draft edit and proofread documents and correspondence.

Take meeting minutes ensuring clear and accurate records of discussions action items and followup points.

Maintain an organized filing system for important documents and records.

Data Entry & Record Keeping:

Input data accurately into relevant systems ensuring all information is up to date.

Maintain confidential records in line with Knowmores privacy and confidentiality policies.

Support the Elder in Residence with maintaining accurate and accessible data on client matters and legal services provided.

Time Management & Workflow Support:

Assist the Elder in Residence with time management by organizing and prioritizing daily tasks.

Ensure deadlines are met and that administrative processes run efficiently.

Help track and manage workloads providing support where required to meet timelines.

General Administrative Tasks:

Assist with organizing and setting up for events workshops or community outreach initiatives including logistics and preparation of materials.

Ensure the office environment is maintained in an orderly and efficient manner.

Perform other administrative duties as assigned by the Elder in Residence or management team.

Qualifications and Other requirements

The ideal candidate will possess the following qualifications skills and attributes:

Cultural Competency: A strong understanding and connection to Aboriginal and/or Torres Strait Islander culture values and communities.

Previous Administrative Experience:

Demonstrated experience in an administrative or support role with knowledge of calendar management data entry and document management.

Organizational Skills: High attention to detail with the ability to manage multiple tasks prioritize effectively and meet deadlines.

Communication Skills: Strong written and verbal communication skills including the ability to take clear and accurate meeting minutes and correspondence.

Time Management: Ability to manage time effectively providing consistent support to the Elder in Residence and ensuring tasks are completed in a timely manner.

Confidentiality & Discretion: Understanding of the importance of confidentiality and the ability to handle sensitive information with discretion.

Technical Skills: Proficient in using Microsoft Office Suite (Word Excel Outlook) and experience with office management systems and databases.

Holding a satisfactory National Police Records Check and a Working with Children Check.

Working Conditions

This is a parttime position working 4 days per week with 5 hours each day.

The role is based at Knowmores Sydney office.
