You will be reporting to: CEO & C Level Managers
What you will do:
The Office Managers/Executive Assistants role is to support the team at the companys HQ in Athens. The role combines the responsibilities and duties of both an Office Manager and an Executive Assistant.
More specifically:
Essential Responsibilities and Job Duties as Office Manager:
- Oversee and maintain office equipment for uninterrupted function identify needs and acquire supplies manage vendor relationships and coordinate food deliveries when requested
- Processing invoices and managing office budgets
- Implementing and maintaining procedures/office administrative system
- Answer visitors questions calls and emails and provide them with the relevant information
- Maintain visitor employee and department directories and logs
- Organize the reception area while complying with office procedures rules and regulations
- Manage all aspects of space/infrastructure planning (ex: moves additions changes to workstations) and provide answers resources and solutions when requested
- Keep a record of office supply inventory and expenses
- Organizing company events and conferences
Essential Responsibilities and Job Duties as an Executive Assistant:
- Maintaining calendars and scheduling business appointments
- Assist in coordinating quarterly earnings conference calls and webcasts highlevel conferences and roadshows
- Responsible for scheduling weekly team meetings and following up on action items
- Coordinating complex domestic & international travel for team members
- Assist with PowerPoint presentations including data collection formatting printing and distribution
- Create update and coordinate a variety of forms letters reports and memos
- Organizing and maintaining filing system records and reports
- Arranging lunches dinners and other events as needed
- Performs position functions with a high degree of ethics and confidentiality
- Assisting the organizations functions by keeping personnel records up to date arranging interviews and updating financial documents.
Requirements- Bachelors degree in business HR or any other relevant field
- Proven experience as a secretary reception or administrative assistant
- Exceptional written and verbal communication skills in Greek and English language
- To be able to use a computer and main office programs competently
- Experience with customerfacing roles
- Excellent communication skills
- Strong organizational skills
- Ability to work independently on an established agenda and be a team player
- Patience a cando attitude and timemanagement skills
