Data Technology and Innovation (DTI) is leveraging stateoftheart data & digital capabilities to deliver innovation in regulation. We utilise data science and intelligence gathering to proactively identify and intervene to prevent harm and protect consumers.
What will you be doing
Ensuring effective use of Head of Department (HoD) time through judicious diary management remaining flexible to frequent and often shortnotice changes. Keeping the HoD wellinformed of changes in diary and priorities arranging conference/meeting rooms and for correct materials to be at hand. Where required attending meetings alongside the HoD taking accurate notes/minutes; distributing actions and following up effectively. Anticipating diary changes e.g. arranging cover in HoD absence. Diarising and collating routine (and as appropriate adhoc) exercises for the HoD
Following up on HoD actions and those of others required by the HoD managing emails and written correspondence noting immediate action and dealing with those when necessary; chasing actions from the HoD if they risk becoming overdue
Ensuring all expenses meet FCA policy; crosschecking managers expenses and following up any policy issues
Organising of Departmental meetings and coordination of department communications
Dealing with routine administration and enquiries via email and telephone filtering where necessary and dealing with enquiries without reference to HoD when possible. Administering system based approvals on behalf of the HoD
Assisting on departmental projects and coordinating department wide exercises

Minimum
Experience of providing an administration or personal assistant service to senior leaders including strong diary management skills
Strong written communication skills with proven ability to interact with people at all levels
Experienced in using Outlook Word PowerPoint and Excel
Essential
Efficient organisational time management and administrative skills
Ability to planahead prioritise act on own initiative and manage own workload
Calm under pressure and can work to tight deadlines whilst maintaining quality
Flexibility and the willingness to get things done supporting others as necessary
Selfmotivated and able to work without supervision using own initiative to resolve issues and progress actions
