Job Description

This is a remote position.

About the Role

We are seeking a highly organized and detailoriented Executive Assistant to provide administrative support and streamline operations. The ideal candidate will have excellent minutetaking skills expertise in scheduling proficiency with Monday and the ability to set up and maintain an efficient filing system.


Paid hours per week: 40 hours
Schedule: Monday to Friday 9:00 AM 5:00 PM 30minute paid break West End QLD (Australian Eastern Standard Time)


Key Responsibilities
  • Take detailed and accurate meeting minutes ensuring key action items are recorded and followed up.

  • Manage and coordinate executive schedules appointments and meetings.

  • Utilize Monday to track tasks projects and team activities.

  • Develop and maintain an efficient filing and document management system.

  • Assist with email management correspondence and administrative tasks.

  • Prepare reports presentations and other business documents as needed.

  • Liaise with internal and external stakeholders on behalf of the executive team.



Requirements

  • Proven experience as an Executive Assistant Administrative Assistant or similar role.

  • Strong minutetaking and scheduling abilities.

  • Proficiency in Monday (or willingness to learn).

  • Experience in setting up and managing filing systems.

  • Excellent organizational multitasking and communication skills.

  • Proficiency in Microsoft Office Suite (Word Excel Outlook) and other productivity tools.

  • Ability to work independently and handle confidential information with discretion.
