Role and Responsibilities
Your missions
In close collaboration with the HR Operations Manager and the HR Manager you will work with one goal in mind: the daily wellbeing and happiness of Cafeyners! You will join the Paris office eager to learn from the People team and contribute to making the workplace an enjoyable and dynamic environment.
Your Responsibilities
Office Management
You will be responsible for two main areas related to the office:
Office life
Daily management of office life and orders (supplies IT equipment fruits coffee snacks breakfasts etc.
Mail management and ensuring the office layout is wellmaintained
Daily management of Cafeyner requests via the Atlassian tool (Jira)
Coordination and management of relationships with various office service providers
You will manage the devices assigned to new employees coordinate repairs and serve as the primary contact with our suppliers ensuring that ergonomic solutions are provided to enhance employee comfort and productivity
Animation and wellbeing
Support during Cafeyn Group key events: Allhands teambuilding parties special events satisfaction surveys etc.
Responsible for onboarding new employees: distributing welcome kits and badges tracking the onboarding process to ensure smooth integration of new talents
Being the point of contact for gifts to employees (births weddings work anniversaries etc.
Supporting various crossfunctional People team projects: internal newsletters CSR projects etc.
HR Operations
Personnel Administration: Support the HR team with drafting employment contracts certificates and handling occupational health (appointment scheduling and followups) regularly updating information in the HRIS (Lucca)
Payroll: Assist in preparing payroll (variable elements) and checking it with Julien our HR Operations Manager ensuring timely processing
Participate in CSE projects particularly those focusing on employee wellbeing
Interact with various Cafeyn team members
Requirements
Youre in the right place if:
You are studying HR at a Bachelors level office management/logistics executive assistance project management or are simply eager to learn
You have excellent interpersonal skills a contagious energy and a good sense of humor
You enjoy multitasking and know how to prioritize tasks pay attention to detail and thrive in handling lastminute challenges
You are a strong communicator creative resourceful organized and eager to learn and make people happy
You speak English fluently both written and spoken to communicate with our international teams mandatory
You can maintain confidentiality and discretion
Location
This is a hybrid position (Paris mtro RichelieuDrouot) and you should be able to come to the office regularly to meet with the teams. You are not hesitant to travel to meet other team members.
