Overview: IslandWood providesexceptional learning experiences to inspire lifelong environmental and community stewardship; our 250acre campus is located on Bainbridge Island. TheEvent Assistant lead is responsible for dayof management of event details required for smooth operations of conferences retreats auctions special events and community programs at IslandWood to ensure exceptional customer experience.

Title: Event Assistant Lead

Classification: Full time Hourly/Nonexempt

Pay Range: $21.50 $22.50 per hour

Work Schedule: Varies; includes nights and weekends

Paid Time off annual benefit:

IslandWood offers 3 weeks paid vacation floating holidays 10 annual paid holidays and 80 hours of paid annual sick leave.(Timeoff prorated during first year based on start date).

Responsibilities:

Event Delivery

  • Ensures that delivery tasks scheduled on function sheets are fulfilled per client and guest.
  • Provides coverage for event delivery when Event Planner is not present. Retains operational knowledge of key components required for programs when other staff are not available (gate codes keys security system AV operations phone needs etc.
  • Guest services for assisting visitors with questions during their event and/or stay. Supports guests and internal teams with onsite changes to ensure a safe and exceptional experience.
  • Coordinates with Event Assistants to delegate prioritize and accomplish delivery tasks that fulfill the customer experience as well as the needs of IslandWood onsite delivery teams.
  • Coordinates with Event Planners to ensure adequate coverages for all events.
  • Checks in with guests hospitality services and the kitchen to make sure operations are running as scheduled and communicates changes in a timely manner that upholds quality. Communicates with lodging team to support guest needs.
  • Retains knowledge of general operations and emergency procedures required when guests are on site; ability to assess situations in an emergency.

Administrative Work

  • Assists in coordinating preevent procedures with necessary departments; guest registration welcome notes signs keys registration and marketing materials rooming lists etc.
  • Completes other tasks and special projects as assigned by Event Planners or management.
  • Attends weekly departmental meetings.
  • Develops and manages written protocols for the Event Assistant team including ongoing training.
  • Assists with management of EventPro calendar and update group information.

Required Qualifications:

  • Minimum 2 years of experience in customer service administrative operations or event related work.
  • Welcoming and professional customer service clear communication and interpersonal skills.
  • Ability to take initiative and prioritize tasks; effective timemanagement problemprevention and problemsolving.
  • Ability to work collaboratively and respectfully within a team; represent all perspectives when resolving operational issues.
  • Physical Standards: Must have ability to remain stationary and exert wellpaced mobility for long periods. Must be able to safely reach bend and frequently lift at least 25 pounds.
  • Successful experience engaging with diverse communities.
  • Strong computer skills and knowledge of Microsoft Office; ability to work on a variety of software programs as trained (EventPro Salesforce etc..
