GENERAL PURPOSE AND SCOPE OF POSITION:
The Academic Affairs Assistant provides essential administrative and clerical support to ensure the efficient operation of the Office of Academic Affairs and Ivy Tech Bloomingtons academic schools and programs. Reporting to the Assistant to the Vice Chancellor for Academic Affairs this role supports the Vice Chancellor for Academic Affairs deans faculty and staff in daily operations.
MAJOR RESPONSIBILITIES:
1. Manage calendars and coordinate meetings including taking minutes when requested.
2. Deliver exceptional customer service to internal and external stakeholders. 3. Develop update and maintain databases documents and spreadsheets. 4. 4. Handle incoming and outgoing communications on behalf of Academic Affairs.
5. Oversee office management tasks including creating academic publications maintaining supply inventories managing copier and scantron resources and facilitating training Staff and Faculty on machine usage.
6. Serve as the primary backup for room scheduling in 25Live and Perkins grant purchasing.
7. Prioritize and manage multiple projects ensuring timely completion.
8. Maintain proficiency in commonly used software applications (e.g. Workday Banner Ivy Advising 25Live Pro IvyAnalytics).
9. Create and manage adjunct faculty contracts each term.
10. Assist students in person via email and by telephone.
11. Collect and archive faculty documentation including course syllabi office/faculty schedules and endofsemester course materials.
12. Coordinate travel arrangements conference registrations and purchase requests.
13. Participate in community service service learning and civic engagement projects as assigned.
14. Process purchasing and order submissions through IvyMarkets.
15. Assist other Academic Affairs areas including the Library Learning Commons Educational Technology and Testing Center.
16. Perform other duties as assigned in line with commonly accepted practices.
