Scheduling Assistant Optimize Technician Schedules & Ensure Service Efficiency


This is a remote position.


FullTime 40 Hours per week

Offer is negotiable

5:00 AM 12:00 PM AEDT (Tasmania Australia) Monday Friday


About the Role:

As a Scheduling Assistant your ability to handle highvolume scheduling while maintaining accuracy and efficiency will be essential in this dynamic role. You will coordinate service schedules for the client s field technicians using Aroflo optimise routes and ensure efficient service delivery. You will play a key role in managing technician availability responding to lastminute scheduling changes and resolving conflicts to maintain smooth operations.

Key Responsibilities:

  • Develop & Maintain Efficient Schedules

    • Use route optimization software to create and manage technician schedules.

    • Assign job tasks based on technician skills availability job priority and geographic location.

    • Adjust schedules proactively in response to unforeseen changes such as job cancellations urgent client requests or technician availability.

  • Optimize Scheduling Efficiency

    • Monitor daily schedules to minimize travel time and maximize productivity.

    • Analyze scheduling patterns to identify areas for efficiency improvements.

    • Implement process enhancements to reduce scheduling conflicts and improve service delivery.

  • Coordinate with Internal Teams & Technicians

    • Communicate effectively with technicians to confirm schedules resolve conflicts and adjust workloads.

    • Provide scheduling reports and insights to management to support operational decisions.

Performance Milestones:

  • 30 Days: Complete training on Aroflo and scheduling processes shadow senior team members and handle basic scheduling tasks under supervision.

  • 60 Days: Independently manage technician schedules proactively resolve conflicts and establish effective communication with field technicians.

  • 90 Days: Achieve 95 scheduling accuracy optimize technician routes and contribute insights for scheduling improvements.

  • One Year: Become the primary scheduling coordinator enhance efficiency through optimized service distribution and refine scheduling SOPs using Aroflo automation tools.

Key Performance Objectives (KPOs):

  • Maintain 95 scheduling accuracy with minimal reschedules due to internal errors.

  • Improve technician route efficiency to maximize service completion rates.

  • Ensure effective scheduling communication to reduce lastminute conflicts.

  • Implement process improvements that enhance overall scheduling effectiveness.


Who You Are:

  • IndustryExperienced in Scheduling Roles: You have prior scheduling experience in servicebased industries such as plumbing electrical pest control fire services service technician roles (e.g. coffee technician) or support worker coordination.

  • Highly Organized & DetailOriented: You excel at managing schedules with precision and accuracy.

  • ProblemSolver & Adaptable: You thrive in fastpaced environments and can adjust quickly to lastminute changes.

  • Strong Communicator: You coordinate effectively with technicians internal teams and management.








Requirements

Qualifications and Requirements:

  • Proven experience in scheduling within a servicebased industry such as plumbing electrical pest control fire services service technician coordination or support worker scheduling.

  • Strong foundation in scheduling; training will be provided for companyspecific processes but candidates should already be experienced.

  • Familiarity with scheduling and route optimization software; experience with Aroflo is highly advantageous.

  • Proficiency in Microsoft Office (Excel Word Outlook) and cloudbased collaboration tools.

  • Reliable remote work setup with a stable internet connection.
