Schedule: Monday to Friday 9:00 AM 6:00 PM 1hour unpaid break Austin (Pacific Standard Time PST)
Job Role Overview:
We are seeking a highly organized and proactive professional to provide executive and administrative support. This role involves managing schedules coordinating communications assisting with professional and personal tasks and handling light bookkeeping. The ideal candidate will be detailoriented techsavvy and capable of multitasking in a fastpaced environment.
Responsibilities:
- Manage scheduling calendar coordination and meeting bookings.
- Follow up with clients to ensure professional engagement.
- Assist with booking classes appointments and logistics.
- Handle correspondence via Microsoft Outlook and Teams.
- Coordinate with the marketing agency for LinkedIn and website content.
- Utilize AI tools like ChatGPT and Perplexity for research and productivity.
- Perform very light bookkeeping tasks including expense management and invoicing.
Requirements
- Experience in executive or personal assistant roles is a must.
- Strong organizational and communication skills.
- Proficiency in Microsoft Outlook and Teams.
- Familiarity with AI tools for research and automation.
- Basic bookkeeping experience highly preferred with knowledge of Xero being a plus.
- Ability to multitask and adapt to shifting priorities.
- Problemsolving skills with a proactive mindset.
