Job Description

We re seeking a proactive and organized Admin Assistant to become the backbone of our growing carpentry business. In this role you ll have the opportunity to significantly impact our operations by managing crucial administrative tasks that keep our business running smoothly. You ll be working closely with our leadership team utilizing cuttingedge project management software to streamline our processes. This position offers a unique blend of traditional admin work with the excitement of contributing to a growing business in the dynamic field of carpentry. Responsibilities

  • Manage and optimize our new Fergus project management system ensuring all jobs are set up correctly and efficiently
  • Handle email correspondence professionally organizing incoming messages and responding to clients promptly
  • Play a key role in our quoting process by researching material prices and assisting in the preparation of accurate competitive quotes
  • Perform crucial data entry tasks with a focus on setting up materials in our system to support smooth operations
  • Support our financial processes by assisting with invoicing and ensuring accurate timely billing
  • Conduct followups with clients maintaining strong relationships and ensuring customer satisfaction
  • Contribute to the continuous improvement of our business processes identifying areas for efficiency and implementing solutions
  • Collaborate with team members to ensure seamless communication and coordination across all aspects of our projects


Requirements

  • Proven experience in administrative roles preferably in a small business or constructionrelated environment
  • Strong proficiency in data entry and familiarity with project management systems (experience with Fergus is a plus but not required)
  • Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively
  • Strong written communication skills for professional email correspondence and client interactions
  • Basic understanding of quoting processes and material pricing in the construction industry
  • Demonstrated ability to quickly learn and adapt to new software systems
  • Keen attention to detail particularly when handling financial tasks such as invoicing
  • Excellent time management skills and ability to work independently
  • Proactive problemsolving attitude and willingness to contribute to process improvements
  • Proficiency in Microsoft Office suite or equivalent productivity tools
  • Strong work ethic and commitment to supporting a growing business
