Job Description

Guest Relations Officer (only candidates with 5 star hotel experience will be considered as per client requirements)

Stellenbosch (non relocation from other provinces)

Employment Type: FullTime

Key Responsibilities:
Welcome and introduce guests to the estate ensuring a memorable first impression.

Manage the checkin and checkout process with precision and professionalism.

Pass all relevant guest information to various departments as needed ensuring seamless communication.

Assist guests with bookings tours transfers and creating personalized itineraries.

Maintain accurate guest information and rates updating profiles on Protel.

Liaise with external guests and support the restaurant team when required.

Report maintenance concerns to the manager on duty to ensure a highquality experience.

Prepare welcome letters and registration cards for all incoming guests.

Efficiently manage key documents including:

Day Sheets: Guests itinerary documents.

Call Logs: Guests daily call records.

Calls and guest concerns resolving issues promptly.

Assist reservations with lodge bookings and messages supporting seamless guest communication.

Collaborate with departments such as Spa Housekeeping and Restaurant as needed.

Handle lunch and dinner bookings on Dineplan ensuring accuracy.

Conduct thorough handovers with Night Auditors and Guest Relations staff on early/late shifts.

Ensure all transfers are booked tracked and correctly charged.

Perform night audit duties twice a month.

Requirements:
Qualifications: Hospitality Certificate/Diploma is essential.

Experience: At least 23 years in a similar role with night auditor experience being highly advantageous.

Skills & Attributes:

Strong computer literacy and excellent administrative abilities.

Exceptional written and verbal communication skills in English (inperson and telephonic).

Passionate about hospitality with a customercentric mindset and excellent people skills.

Ability to build professional working relationships across diverse cultures and religions.

Friendly outgoing and approachable with a natural warmth and helpful demeanor.

Meticulous attention to detail and highly selfdisciplined.

Comfortable working with distinguished clientele and maintaining professionalism at all times.

Punctual proactive team player with reliable transport to and from work.
