- Process client acceptance forms and collect AML/KYC documentation.
- Ensure new matters are opened and existing legal files are maintained.
- Assist lawyers with timesheet reviews and invoice preparation.
- Attend WIP and debtors meetings ensuring followups with the billing team.
- Verify draft invoices for accuracy and compliance finalize and issue them.
- Respond to invoicing queries and manage document collection.
- Handle client questions regarding invoices and analyze financial aspects of client files with partners lawyers and the finance department.
- Coordinate teams and workstreams.
- Assist with closing meetings.
- Liaise with internal and external clients service providers authorities and notaries.
- Schedule meetings book rooms and prepare materials.
- Schedule client meetings and calls.
- Develop PowerPoint presentations Excel spreadsheets and fee quote documents.
- Foster relationships with internal and external clients.
- Handle client requests prepare and submit legal documentation update corporate documents assist with signing processes and draft standardized legal documents.
- Finalize legal opinions and proofread amend and translate various documents.
- Manage queries files and prioritize tasks.
- Handle and manage yearly audit requests from auditors.
- Draft correspondence and manage the document cycle.
Qualifications :
- A Bachelors degree in administrative assistance secretarial studies or law with a legal education considered advantageous.
- 2 to 5 years of relevant experience as a corporate officer or paralegal within a trust services or law firm.
- Exceptional organisational and communication skills.
- Capability to manage multiple projects and prioritise effectively.
- Experience in engaging with diverse constituencies in a demanding professional setting.
- Strong drafting abilities and keen attention to detail.
- A proactive and positive attitude.
- Fluency in both French and English with knowledge of German and/or Luxembourgish seen as beneficial.
- Proficiency in the Microsoft Office suite.
- Flexibility and ability to work collaboratively in a confidential environment.
