Permanent Dayshift WFH
Beauty & Wellness GVA (with Zenoti Experience)
Reporting : You will work closely with the client to use the CRM (Zenoti) to extract reports and other information for marketing purposes.
VA TASKS
I. Backend admin support and nurturing
- Set up products in the system
- Entering stock in and out
- Stock report weekly
- Stock reconciliation
- Stock process: from ordering to receiving using etc
- And other stock related tasks
II. Nurturing process for existing customers
A. Loyalty program
- Validate and run pointing system for customer base in the system
- Set up an automatic email to advise the customer when they reach point redemption eligibility
- Process Loyalty point redemption reporting weekly and monthly
B. Referral programs
- Set up monitor and advocate referral program.
- Track the program and measure the success weekly and monthly
C. Birthday vouchers
- Validate eligibility of Customers to birthday vouchers
- Track the program and measure the success weekly and monthly
D. Client and customerbase Google Review awards
- Provision bonus for clients who have successfully submitted a Google Review
- Manually enter data and points in the system
- Track the program weekly and monthly
- Validate and award discounts for PacFair staff
- Track the program weekly and monthly
E. Newsletter
- Prompt and process Weekly newsletters to client base
- Track the program and measure the success weekly and monthly
F. Membership
- Set up membership program for different services
- Take charge of backend membership tasks for but not limited to Purchase process redemption process feedbacks
- Set up feedback form after customer s appointment
- Process feedback reporting weekly and monthly as the business and individual staff
- Run surveys for customers to understand our customers needs and wants and identify the companys areas for improvement
- Run surveys for staff to measure the performance of managers
- Run surveys for staff to measure the performance of owners(
(Surveys are done quarterly in March Jun Sep and December)
G. Gift Voucher online
- Set up the system and website so we can sell online/digital voucher
- Liase process of instore and online redemption.
- Process Gift vouchers report weekly & monthly.
- Set up new services and prices in the system and assign to the appropriate staff
H. Other offers
- Track the program and measure the success of other seasonal and variety offers
- Takes care of other system related set up such as add on services group bookings etc
III. General Admin Tasks
- Staff performance weekly reporting
- Performance quartile reporting : Identifying & celebrating performers identifying low performers etc
IV. System Zenoti CRM
- Moving appointments to appropriate staff
- Answering Zenoti enquires.
- Update pricing.
- Record the bonus points weekly based on given OKRs such as Google reviews cross sell upsell etc in the bonus spreadsheet.
- Update OKRs daily required for 1:1 meeting
V. Website

Requirement
- 12 years similar experience as General Virtual Assistant preferably in the Beauty and Wellness Industry.
- ZENOTI CRM or experience with similar tool is Highly preferred.
1-2 years similar experience as General Virtual Assistant - preferably in the Beauty and Wellness Industry. ZENOTI CRM or experience with similar tool is Highly preferred. Exceptional attention to detail and accuracy. Strong organizational and time-management skills. Excellent communication skills, both written and verbal. Ability to work independently and handle confidential information responsibly.
