Job Description

Job Overview

We are delighted to introduce an opportunity for an experienced Onboarding Specialist to join our dynamic team. This pivotal role supports new hires by ensuring a seamless integration into our company culture and operations enhancing employee satisfaction and productivity from day one.

Key Responsibilities and Duties

    • Develop and update onboarding materials (Orientation guides Trainee Checklist etc..
    • Coordinate with other teams to prepare necessary equipment compliance checklist and all required certifications for new hires.
    • Set up or update new hire accounts in HR systems and software.
    • Dispatch new hires to training classes after verifying all compliance aspects.
    • Send welcome emails to new hires or graduates with onboarding schedules and login instructions.
    • Schedule and conduct orientation or onboarding sessions for new hires.
    • Introduce key policies and procedures for each LOB (code of conduct Protocols knowledge centers etc..
    • Verify compliance with Client requirements for each LOB while dispatching or before login.
    • Collaborate with department heads to schedule rolespecific training sessions.
    • Create all necessary credentials for training tools systems and Apps either Company or Client.
    • Assign mentors or team leaders to new employees for guidance.
    • Follow up on and track to close any pending onboarding for new hires.
    • Collect feedback from new hires regarding their onboarding experience.
    • Suggest and adjust onboarding materials and processes based on feedback.
    • Maintain accurate records of dispatching activities and onboarding activities.
    • Participate in HR team meetings to discuss onboarding effectiveness and improvements.
    • Update and maintain onboarding metrics and reports for management review.
    • Participate in data analysis to identify trends and areas for improvement in the onboarding process.

    Desired Qualifications

      • Bachelors degree.
      • 1 year of experience in an administrative role.
      • English Level B2 is a must.
      • Strong organizational and prioritizing skills.
      • Must be proficient in Microsoft Office Suite.
      • Ability to work in a dynamic environment.
      • High attention to detail and problemsolving skills.
      • Friendly and approachable demeanor.
      • Passion for helping others and improving employee experiences.
