Role Name: Executive Assistant & Project Coordinator

Schedule:

  • Parttime 4 hours per day MondayFriday 9:00 AM 1:00 PM) or flexible

Job Description

We re seeking a detailoriented and proactive Executive Assistant & Project Coordinator to provide comprehensive support across multiple business contexts. This role offers a unique opportunity to work directly with a senior investment professional and entrepreneur managing crucial administrative functions and driving project . The position demands exceptional organizational abilities strong communication skills and the capacity to handle multiple priorities while maintaining attention to detail. This is an excellent opportunity for a selfstarter who thrives in a dynamic environment and wants to gain exposure to both venture capital and entrepreneurial operations.

Responsibilities

  • Manage and prioritize complex email communications ensuring timely responses and appropriate followup
  • Coordinate and maintain calendar management including scheduling meetings and managing appointments across different time zones
  • Drive project management initiatives using Asana including tracking deliverables updating project status and ensuring timely completion
  • Process and file expense reports and handle various administrative paperwork with high attention to detail
  • Proactively communicate with stakeholders to maintain project momentum and ensure alignment
  • Implement and maintain organizational systems to improve efficiency and productivity
  • Coordinate between multiple business entities and stakeholders to ensure smooth operations
  • Execute timesensitive tasks and manage competing priorities effectively


Requirements

Essential Qualifications:

  • Proven experience with email management and inbox organization
  • Demonstrated proficiency with project management tools particularly Asana
  • Strong background in expense management and administrative documentation
  • Expertlevel calendar management and scheduling capabilities
  • Excellent written and verbal communication skills
  • Proven ability to work independently and take initiative

  • Outstanding organizational and time management abilities
  • Exceptional attention to detail and accuracy
  • Demonstrated capacity for independent decisionmaking
  • Strong stakeholder management and communication skills
  • Experience in executive support or similar administrative roles
