The ideal candidate will have demonstrated experience with U.S.based HR and payroll processes a solid understanding of federal (and preferably California) employment laws and familiarity with HRIS systems (Paycom experience is a plus). The successful candidate will provide comprehensive administrative support to the HR Director coordinate HR programs process payroll manage leaves of absence and assist with benefits administration. Key Responsibilities & Job Accountabilities HR Administration & Compliance - Provide daytoday administrative support to the HR Director.
- Manage employee onboarding orientation and offboarding ensuring compliance with federal state and company policies.
- Administer various HR programs and processes including benefits enrollment changes and inquiries.
- Oversee leaves of absence (FMLA etc. and ensure compliance with applicable regulations.
- Respond to unemployment claims and coordinate necessary documentation.
Payroll Processing
- Process semimonthly payroll for U.S.based employees ensuring accurate wage tax and deduction calculations.
- Prepare and process final checks as needed.
- Reconcile payroll data ensuring benefit plans and employee deductions are accurate in the HRIS system.
- Address inquiries related to payroll timecards timeoff and benefits.
Employee Support & Development
- Assist with performance management processes including goal setting performance reviews and feedback.
- Coordinate employee training and development initiatives.
- Collaborate with managers to identify staffing needs and participate in the recruitment process.
- Conduct new hire orientations and facilitate a smooth onboarding experience.
HRIS & Data Management
- Maintain and update employee information in HRIS (Paycom or similar).
- Generate various reports as needed and conduct data audits to ensure accuracy.
- Maintain strict confidentiality and data security especially when accessing government websites or handling sensitive information.
Project & Vendor Coordination
- Assist the HR Director with HR projects and initiatives driving continuous improvement.
- Coordinate HRrelated activities with vendors community management teams and employees.
- Communicate effectively via phone email and written correspondence in a professional manner.
Continuous Improvement & ProblemSolving
- Stay current on federal and state (particularly California) employment law changes and best practices.
- Research and resolve HRrelated issues proactively and escalate when necessary.
- Provide recommendations to enhance HR processes improve employee experiences and ensure compliance.
Other Duties as Assigned
- Adapt to changing business situations by reprioritizing tasks and responsibilities.
- Support additional human resources or administrative needs as directed.
Required Experience & Qualifications
HR/Payroll Experience
- Minimum 2 years in a support role within Human Resources or Payroll 4 years strongly preferred.
- Demonstrated experience working with U.S. companies; familiarity with California employment laws is a plus.
Technical Proficiency
- Experience using HRIS platforms such as Paycom (preferred) or other similar systems.
- Proficient in Microsoft Office Suite (Word Excel PowerPoint) or Google Workspace.
- Ability to handle confidential information with discretion and adherence to data protection protocols.

Education
