The will support the IT department in various administrative and operational tasks, gaining valuable experience in IT processes and systems. This role is ideal for individuals looking to develop their skills in IT management, asset tracking, ticketing systems, and reporting. As a trainee, the focus will be on learning the ropes of IT operations, while assisting the team in maintaining documentation, scheduling meetings, and reporting on IT KPIs.
1.Documentation Management:
Assist in organizing and maintaining IT-related documents, policies, and procedures.
Ensure all documentation is up-to-date, accessible, and well-organized.
Support in preparing reports and presentations for internal meetings and updates.
2.Meeting Coordination:
Help schedule and coordinate meetings, including sending invites and preparing agendas.
Take meeting minutes and assist in tracking action items.
Communicate meeting schedules and changes to relevant team members.
3.Ticketing System Management:
Support in managing the IT ticketing system, ensuring that tickets are logged, tracked, and resolved.
Assist with prioritizing tickets based on urgency and impact.
Follow up with team members to ensure timely resolution and communicate status updates to users.
Generate basic reports on ticket volume and service performance.
4.IT Asset Register Management:
Assist in maintaining an up-to-date inventory of IT assets (hardware, software, licenses, etc.).
Help track asset status, location, and condition for proper management.
Support procurement and disposal of IT assets while ensuring compliance with company policies.
5.IT KPIs Reporting:
Support the preparation of weekly, monthly, and annual reports on IT KPIs.
Assist in monitoring key metrics such as ticket resolution time and user satisfaction.
Help report on IT performance and trends to senior management.
6.General Administrative Support:
Assist the IT department with various administrative tasks such as filing, organizing schedules, and internal communications.
Help prepare and distribute internal communications related to IT updates, changes, or system outages.
Provide general office support to the IT team as needed.
High school diploma or equivalent required; an associate’s degree or higher in IT, business administration, or a related field is preferred.
Certifications:
Certifications in office administration, IT basics, or project management (e.g., Microsoft Office Specialist, ITIL Foundation) are a plus but not required.
Skills and Competencies:
Organizational Skills: Strong ability to manage multiple tasks, prioritize work, and meet deadlines.
Communication Skills: Clear written and verbal communication skills, with the ability to interact effectively with both technical and non-technical staff.
Technical Skills: Basic knowledge of IT systems and proficiency in Microsoft Office Suite or Google Workspace.
Technical Support and Troubleshooting:
Assisting with Technical Issues: Provide support to internal teams or end-users by assisting in the resolution of IT-related issues, such as software malfunctions, connectivity problems, or hardware failures.
Documenting Issues: Record issues and troubleshooting steps in ticketing systems, ensuring that any recurring issues are logged for future reference.
Monitoring Systems: Help monitor and maintain the performance of IT systems, including network connectivity, server status, and application performance.
. System and Network Administration Support:
Network Setup and Configuration: Support network engineers in configuring and setting up networking equipment, including routers, switches, and firewalls.
Managing User Accounts: Assist in creating, updating, and managing user accounts and permissions within company systems, ensuring that employees have the necessary access levels.
Maintaining Servers and Systems: Assist in the management and maintenance of servers and computer systems, performing routine tasks like backups, updates, and system checks.
