Key Responsibilities:
- Onboarding & Induction:
- Assist with the onboarding process for new employees ensuring smooth integration into the company.
- Coordinate and facilitate induction sessions to familiarize new employees with the company’s policies culture and teams.
- Ensure the timely completion of necessary paperwork including contracts tax forms and benefits enrollment.
- Attendance Management:
- Track and maintain employee attendance records (e.g. timekeeping absenteeism tardiness).
- Review and verify attendance data to ensure accuracy resolving discrepancies where necessary.
- Prepare attendance reports for management and process leave requests (sick vacation personal leave).
- Ensure compliance with the company’s attendance policies and assist in implementing improvements where necessary.
3. Employee Documentation:
- Assist in preparing and organizing employee files ensuring all documentation (contracts certifications performance reviews etc.) is accurate and uptodate.
- Maintain confidentiality and ensure compliance with data protection regulations regarding employee information.
- Prepare new hire documentation and assist with onboarding processes (e.g. contracts benefits enrollment).
- Assist with employee exit processes and ensure proper documentation is collected during offboarding.
4. General HR Support:
- Assist with HR administrative tasks such as preparing reports scheduling interviews and responding to employee inquiries.
- Help ensure compliance with labor laws and company policies.
- Support HR initiatives and contribute to HRrelated projects as needed.
5. Employee Engagement:
- Support employee engagement initiatives including organizing regular teambuilding activities social events and employee feedback surveys.
- Assist in creating a positive workplace culture by supporting programs that enhance employee satisfaction and wellbeing.
- Help promote internal communication channels and encourage participation in company events and programs.
6. Event Coordination:
- Assist with the planning and execution of company events including offsite teambuilding activities celebrations workshops and other corporate functions.
- Coordinate logistics for events such as booking venues catering and travel arrangements.
7. Employee Documentation & Administrative Support:
- Handle employee documentation related to international travel hotel stays and visa processing for both domestic and international assignments.
- Assist in ensuring that employees’ travel arrangements are in line with company policies and requirements.
- Maintain accurate and uptodate records of all employeerelated documents.
8. Employee Support:
- Provide administrative support to employees helping to resolve any HRrelated queries regarding benefits policies and procedures.
- Maintain confidentiality and handle sensitive employee information in a professional manner.
9. General HR Assistance:
- Assist with daily HR operations including preparing reports managing employee records and updating the HR database.
- Support the recruitment process by scheduling interviews and coordinating candidate communications.
- Maintain a proactive approach to resolving any HRrelated issues and concerns.
Required Skills & Qualifications:
- Bachelor's degree in Human Resources Business Administration or related field.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize effectively.
- Proficiency in Microsoft Office Suite (Excel Word PowerPoint).
- Previous HR internship or relevant experience is a plus but not required.
- Knowledge of HR processes and labor laws is a plus.
- Ability to handle sensitive and confidential information.
