Job Description

As an Office Manager you will be responsible for ensuring the smooth and efficient operation of our Belgium office during 45 months. You will oversee daily administrative activities coordinate office functions building management and support HR and finance teams to maintain an organized and productive work environment. This role is crucial in fostering a positive workplace culture and supporting our consultants and management team.

What will your new challenge  look like

  • You will manage office supplies facilities and vendor relationships to ensure a wellfunctioning workspace.

  • You will oversee office and parking maintenance and will ensure the daily preparation of the office for the meetings

  • You will coordinate the logistics around the different events or trainings that we are organizing (food space organization etc) 

  • You will manage contracts and relationships with service providers (cleaning catering office supplies etc.).

  • You will assist in onboarding new employees by coordinating access badges office equipment phone ordering car delivery and welcome kits.

  • You will act as the point of contact for employees regarding officerelated inquiries.

  • You manage office budgets expenses and invoicing processes in collaboration with the finance department.

  • You handle petty expense reports for officerelated purchases.

  • You negotiate contracts with suppliers to optimize costs while maintaining quality.

  • Support marketing initiatives by coordinating internal and external company events.

  • Manage meeting rooms catering and travel arrangements for employees and executives.

  • Work closely with IT support teams to ensure office equipment such as printers telecommunication systems and video conferencing tools.

  • You will report directly to the CFO

  • Excellent interpersonal skills  as you will work closely with everyone in our organization (consultantsHR  Finance management)

  • Excellent communication skills in English  Dutch and French

  • Proficiency in Google Office Suite and office management tools.

  • Attention to detail and ability to handle confidential information professionally.

  • Integrity and discretion are important to you

  • You like to work in team

  • A flexible mindset 

  • For this role we expect a regular presence in the office (3 days/week and depending on events)
