Title: Administrative Assistant II
Location: Sylmar CA
Duration: 6 Months (temp to perm.)
Description:
This position is NonExempt. Hours over 40 will be paid at Time and a Half.
Requires proficiency in two to three vendor software programs.
Provides support to one or two department managers and their staffs.
They are a data science team with 30 members located in Sylmar this will be an onsite position
Duties may include: word processing editing existing documents keying information into existing templates database upkeep. Previous clerical experience is necessary.
Moderate to minimal supervision is provided.
Position will support the DVP of Global Data Science & Analytics & team members part of Medical Device Division
* Looking for someone with a minimum of 3 years of deep experience this is not a lowlevel role
* Looking for someone with experience with Client Systems such as Arriba used for procurement Concur used for travel/expenses Windchill which is a document management systemof these the most desired one is Arriba when it comes to experience
*Experience with large enterprise a plus regulated or medical filed exp preferred.
*They will work with other admin assistants onsite
*Looking for admin assistance with primary responsibility taking care of calendaring travel planning expense reports and other admin tasks which involves record keeping and generation content for different reports they should have familiarity with different systems like Ariba procurement systems MS Office PowerPoint Excel event planning (preferred)
* Educational Requirement: Min. of a H.S. Diploma or GED with min 3 years of relevant experience.
* Top Skills & Experience Needed:
1. Calendar Management
2. Project Management will be working with a number of different weekly and monthly reports collating info. from these reports from the various portfolio leaders in the group and delivering these to the DVP
3. Ability to work with the contracting team at Client in providing followup to the Procurement and Finance Organizations keep things moving forward through Arriba
4. Coordinating Annual Event offsite in making hotel and travel accommodations and catering plans
5. Must be proficient in Excel SharePoint and MS Teams used for tracking documents
* Interview Process/Method: one round with HM and the DVP and the second round with them and 3 other team members Onsite/Inperson Interviews in Sylmar CA
