As a Recruitment Agency and Headhunter we are proud to collaborate with an influential private investment bank a major player within the finance market. Our client located in the heart of the European Quarter in Brussels. To support their mission and ensure optimal efficiency in their activities we are actively seeking a dedicated Management Assistant.

The Management Assistant will play a pivotal role in providing highlevel administrative support to the Principal Partner and Two Partners of private investment bank. The successful candidate will be responsible for managing administrative and organizational tasks ensuring that the Partners can focus on strategic business elements.


Key Responsibilities:

Calendar and Appointment Management:

Handle complex scheduling for executives using Outlook.

Organize numerous appointments and business trips primarily across Europe.

Communication:

Manage all forms of incoming and outgoing correspondence.

Facilitate regular highlevel phone contacts with external partners.

Act as the first point of contact for incoming calls including call screening and messaging.

Document and Report Preparation:

Assist in the preparation of meeting agendas and documentation for committee meetings.

Compile and dispatch key information on various topics to stakeholders.

Event Organization:

Participate in the organization of multiple committee meetings annually.

Administrative Support:

Undertake general administrative tasks such as filing and photocopying.

Collaborate with two other assistants sharing information and providing backup support.

Confidentiality:

Handle sensitive information with discretion.



Qualifications and Skills:

Experience:

At least 5 years of experience in a similar role within a comparable environment.

Languages:

Fluent in English (C2 level) and proficient in French (B2/C1 level).

Computer Skills:

High proficiency in Microsoft Outlook and other IT skills.

Organizational Skills:

Exceptional precision attention to detail and organizational abilities.

Communication Skills:

Strong interpersonal communication and diplomatic skills.

Proactivity:

Energetic stressresistant proactive and enjoys a fastpaced work environment.

Discretion:

Must maintain confidentiality in all aspects of the role.



Salary and Benefits:

Contract Type:

Permanent fulltime position.

Salary:

Highly competitive salary based on experience along with a comprehensive benefits package that includes meal vouchers health insurance (including outpatient and dental care) group insurance pension plan full reimbursement of transport costs annual bonus and 23 paid vacation days.

Work Hours:

37.5 hours per week with remote work
