Job Description:We are seeking a proactive and organized Office Manager to oversee administrative operations and ensure the efficient functioning of our office. The Office Manager will play a key role in managing office facilities coordinating administrative tasks and supporting various departments.

Key Responsibilities:

  1. Office Administration:

    • Manage daytoday office operations including managing office supplies equipment and facilities.
    • Coordinate office maintenance repairs and renovations as needed.
    • Develop and implement office policies and procedures to ensure efficiency and compliance.
  2. Administrative Support:

    • Provide administrative support to senior management and staff including scheduling meetings managing calendars and making travel arrangements.
    • Coordinate internal and external communications including answering phones responding to emails and handling correspondence.
  3. Human Resources Support:

    • Assist with recruiting and onboarding processes including posting job openings scheduling interviews and processing new hire paperwork.
    • Maintain employee records and ensure compliance with HR policies and regulations.
    • Coordinate employee events meetings and training sessions.
  4. Financial Administration:

    • Assist in budget preparation and expense tracking.
    • Process invoices payments and reimbursements accurately and in a timely manner.
    • Maintain financial records and assist in financial reporting as needed.
  5. Facilities Management:

    • Oversee office layout and space planning to optimize efficiency and functionality.
    • Manage vendor relationships and contracts for office services including janitorial services security and utilities.
    • Ensure compliance with health and safety regulations and emergency procedures.

Qualifications:

  • Bachelors degree in business administration office management or related field preferred.
  • Proven experience in office management or administrative role.
  • Proficiency in Microsoft Office Suite and office management software.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal abilities.
  • Ability to multitask and prioritize tasks effectively.
