Job Description

As an Event Executive you will play a pivotal role in the planning coordination and execution of various running events organized by our company. You will be responsible for managing all aspects of event planning from conceptualization to postevent evaluation ensuring seamless execution and exceptional attendee experience.

Key Responsibilities:
Event Planning and Coordination:
  • Collaborate with the clients and project manager to develop event concepts themes and objectives.
  • Assist in creating event timelines budgets and resource allocation plans.
  • Coordinate logistics including venue selection catering transportation equipment rentals and signage.
  • Liaise with vendors sponsors and partners to secure necessary services and support.
Participant Management:
  • Manage participant registration process including online registration platforms and onsite checkin procedures.
  • Provide information to participants regarding event details schedules and logistics.
  • Address participant inquiries and concerns promptly and professionally.
Onsite Event Execution:
  • Oversee event setup ensuring all elements are in place according to plan.
  • Coordinate and hire parttimer/volunteer teams and assign tasks for event day operations.
  • Manage onsite registration participant inquiries and troubleshooting issues as they arise.
  • Do final checks at the day of the event (e.g. tables technology) to ensure everything meets standards.
Event Evaluation and Reporting:
  • Conduct postevent evaluations to assess overall success and identify areas for improvement.
  • Compile feedback from participants sponsors and stakeholders to inform future event planning.
  • Prepare event reports summarizing key metrics outcomes and recommendations.
Budget Management:
  • Assist in monitoring event budgets and expenditures to ensure financial targets are met.
  • Maintain accurate records of expenses and reconcile invoices with vendors and suppliers.
Compliance and Risk Management:
  • Ensure events comply with all relevant regulations permits and safety standards.
  • Identify and mitigate potential risks and liabilities associated with event activities.
  • Implement contingency plans to address unforeseen circumstances during events

Requirements

  • Bachelors degree in Event Management Hospitality Marketing or related field.
  • Previous experience in event planning preferably in the sports or fitness industry.
  • Strong organizational and project management skills with meticulous attention to detail.
  • Excellent communication and interpersonal abilities with the capacity to work effectively in a team environment.
  • Flexibility to work evenings weekends and holidays as required during event periods.
  • Ability to thrive in a fastpaced deadlinedriven environment with a positive attitude.
