Job Description

One of our esteemed clients in the Shipbuilding industry is currently seeking an Interim General Admin Specialist to be based in Dammam Kingdom of Saudi Arabia.

Job Summary:We are currently seeking a skilled and adaptable Interim General Administration Specialist to join our team for a 12month assignment. The successful candidate will provide vital support in various administrative functions ensuring the smooth operation of daytoday activities during this interim period.

Responsibilities:

  1. Office Support:

    • Provide administrative support to the office including handling phone calls emails and inquiries.
    • Implement and manage general business administration scheduling timekeeping travel meetings documentation and office maintenance.
  2. Documentation and Record Keeping:

    • Manage and organize company documents records and files.
    • Ensure compliance with document retention policies.
  3. Meeting Coordination:

    • Coordinate and schedule meetings appointments and conference calls.
    • Prepare meeting agendas and take accurate minutes.
  4. Travel Arrangements:

    • Assist in making travel arrangements for staff including booking flights accommodations and transportation.
    • Ensure travel itineraries are communicated effectively.
  5. Event Assistance:

    • Provide support in planning and executing company events and functions.
    • Assist in logistics coordination and communication for events.
  6. Facility Management Support:

    • Assist in coordinating office maintenance and repairs.
    • Liaise with vendors for office supplies and services.
  7. Administrative Projects:

    • Contribute to special administrative projects as assigned.
    • Collaborate with team members to achieve project goals.
  8. CEO Support:

    • Provide administrative assistance and support to the CEO.
    • Manage the CEOs schedule appointments and communications.

Qualifications:

  • High school diploma or equivalent.
  • Proven experience in general administration or related roles.

Experience:

  • Previous years of experience in administrative positions.
  • Experience in supporting CEO activities is a plus.

Contract Duration:12 months (with the possibility of extension)
