The role of the Fan Relations/Women s Teams Assistant

The Fan Relations/Women s Teams Assistant will provide valuable support across the Corporate Affairs team, particularly the Fan Relations and Women s teams. A super-organised individual, this person will help to plan and deliver both matchday and non-matchday staffing and events as well as helping the General Manager of the Women s teams to document Performance Development Plans for the Women s teams players. This role is part-time, up to four days per week, and hours can be managed flexibly in line with the requirements of the role but will involve some evening and matchday work and the majority of the time will be spent at one of our sites.

This role may suit someone looking to return to working, such as an older worker, or someone with caring responsibilities who is looking for a role to fit in with their other responsibilities.

Main Accountabilities

  • Support the team to respond to fan-related enquiries in the Supporter Services and Accessibility inboxes.
  • Manage the distribution of community tickets for matchdays.
  • Support the planning and operation of stadium tours and other non-matchday events such as visits to schools and community groups.
  • Support the Fan & Community Relations Team on matchdays to ensure we deliver a welcoming environment for all fans.
  • Help with the organisation of matchday staff and entertainment, managing matchday checklists and submitting payroll details for matchday casual staff.
  • Help with other matchday activities such as fan parking, away coach travel and support for fans with additional support needs.
  • Support the Club Ambassador to plan and manage the Legends Programme involving ex-Brentford players.
  • Provide administrative support the General Manager and Head Coach of the Brentford FC Women s team, including planning matchday operations, helping with key events such as spotlight games and team events and supporting the documentation of Performance Development Plans for players of the First and B teams.
  • Follow safeguarding protocols in the set up and ongoing management of the Women s teams, Legends Programme and matchday operations including facilitating DBS checks with HR and escalating any issues to line management and/or the Safeguarding team as appropriate.
  • Support other Fan & Community Relations projects and activities as required, including fan events and matchdays throughout the season.

  • To ensure compliance with all relevant Club policies, including health and safety policies and with specific reference to the data regulations (GDRP and PECR).
  • To ensure compliance with all relevant legal, regulatory, ethical and social requirements.
  • To build and maintain good working relationships both internally and externally, maintaining a professional image at all times when representing Brentford FC.
  • To keep confidential any information gained regarding the Club and its personnel.
  • To maintain a flexible approach to work at all times.

Person Specification Essential Personal Characteristics

  • Excellent organisational skills with the ability to thrive when working on multiple projects with specific deadlines.
  • Excellent knowledge of Microsoft products, especially Excel and Word
  • Good communication skills, both written and oral with good attention to detail
  • Works well in a collaborative environment, contributing to a positive and supportive team dynamic.
  • Clear, articulate, and engaging communication style, with the ability to inform a diverse audience.
  • A flexible approach to working hours, including ability to work weekends and evenings.

  • An interest in football, with experience of attending games.
  • Previous experience planning and operating events.
